Job Description

We are seeking a highly organized and detail-oriented Medical Records Supervisor to oversee the management and processing of medical records in our healthcare facility. The ideal candidate will lead a team of medical records staff, ensuring that all records are accurately maintained, securely stored, and efficiently processed. This role requires strong leadership, communication, and organizational skills, as well as proficiency in data entry and knowledge of medical terminology.

Key Responsibilities:

  • Team Leadership:

    • Supervise and lead a team of medical records/data entry staff, Administrative Assistants, and Medical Administrative support personnel.
    • Act as the team lead for all medical records projects, ensuring timely completion and adherence to quality standards.
    • Provide training to staff on specific procedures, databases, spreadsheets, and systems to ensure consistent and accurate data management.
  • Records Management:

    • Manage the creation, transfer, filing, and processing of electronic and paper medical records.
    • Ensure that medical records are accurately maintained, securely stored, and readily accessible as needed.
    • Communicate with Occupational Health Clinics (OHCs) and other stakeholders regarding medical records archiving, retrieval, and storage issues.
  • Quality Control and Workflow Monitoring:

    • Monitor work production, workflow, and quality issues related to medical records and data management.
    • Generate reports on production, quality, and other relevant metrics, including medical surveillance surveys, as requested.
    • Determine resources needed and establish timeframes for completing medical records projects.
  • Data Entry and Systems Management:

    • Maintain a working knowledge of data entry systems, ensuring fast and accurate data input.
    • Utilize Microsoft applications and basic computer systems to manage and process medical records efficiently.
    • Oversee the implementation and maintenance of databases and record-keeping systems.

Qualifications

  • Education and Experience:

    • High school diploma or GED required.
    • At least one year of experience in the medical records field.
    • Minimum of two years of data entry experience, demonstrating fast and accurate data entry skills.
  • Skills and Knowledge:

    • Strong leadership, communication, and organizational skills.
    • Ability to problem-solve and manage multiple tasks in a fast-paced environment.
    • Familiarity with medical, science, and technology terminology.
    • Proficiency in Microsoft applications, basic computer, and website use.
