This position is classified as hourly, non-exempt. The hiring hourly rate for this role is $19.00-$28.00 dependent upon experience and qualifications.
Summary/Objective:
The Human Resource Assistant will perform administrative tasks and services to support effective and efficient operations of the human resources department.
Position Duties and Responsibilities:
- Maintain accurate and up-to-date human resource files, records, and documentation.
- Daily record-updating including shared teammate status files.
- Maintain the integrity and confidentiality of human resource files and records.
- Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
- Provide clerical support to the HR department.
- Create onboarding profile for new hires in Ultipro/UKG, create core records in UKG.
- Day to Day administration of new hire onboarding process including first day agenda, welcome email, coordinate logistics for new hire with appropriate teams.
- MUST be in NY for new hire first day coordination and to process I-9 verification and E-verify record entry for all new hires.
- Update documents on HR Help (UKG), ensure information is updated and relevant
- Data validation and auditing (assist with UKG/Vision data coordination).
- Ensure data is being synced correctly between UKG and Vision platforms through regular auditing.
- Manage various reporting schedules including weekly metrics, headcount reports, Teammate referral tracking, etc.
- Complete VOE requests as required.
- Immigration documentation management.
- Provide support to CFO/COO in notarizing documents, contract organization, and document management.
- Post new hire requisitions in UKG Recruiting gateway, screen out declined applications.
- Audit deductions for biweekly and semimonthly payrolls.
- Other duties as required.
Qualifications (Minimum and Desired):
- Associate’s degrees in Human Resources, Organizational development, or related field.
- 1+ year in professional office environment
- Ability to maintain a high level of accuracy in performing the required tasks
- A very strong attention to detail
- Ability to work well in a team environment and possess excellent interpersonal and communication skills
- Excellent planning, prioritization and time management skills and willingness to take ownership of tasks.
- Proficiency with or the ability to quickly learn organization’s HRIS
- Proficient in Excel
- MUST be in the office on Mondays to greet New Hires. Monday, Tuesday, Thursday in Office.

For this particular position, we expect to hire near the middle of the range. To be considered for this role, we are looking for candidates with at least 1 year of experience in a professional office environment, and an associate's degree in HR, Organizational Development, or a related field.
We understand that there may be rare and exceptional circumstances where an external candidate has experience, credentials, or expertise that far exceed those required or expected for the position. In these cases, we may consider paying a salary or rate near the higher end of the range.
