In collaboration with the Orchestra Personnel Manager (OPM), the Assistant Orchestra Personnel Manager is responsible for supporting the day-to-day personnel activities of the Atlanta Symphony Orchestra (ASO). The successful candidate will build and maintain trust among orchestra musicians and administrative staff, serve as liaison between musicians and management, and fulfill the duties of the Orchestra Personnel Manager in his/her absence. Responsibilities include maintaining Personnel Office records (contracts, attendance, rosters, etc.), hiring Extra and Substitute Musicians, and serving as a resource for musicians, while handling Personnel matters with discretion. 

 

Work Schedule: 

  • Flexible work schedule, including nights, weekends, and travel for runouts, overnighters, and tours as needed. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: 

  • Work with Orchestra Personnel Manager in administering the Collective Bargaining Agreement (CBA) with respect to all services, including start and stop times, breaks, attendance, seating, musicians’ needs, payroll enrollment, posting schedules and official communications, etc. 

  • Assist OPM and Library to secure personnel information needed non-subscription/special programs, including collecting rehearsal orders, confirming instrumentation, and running services. 

  • Maintain personnel records and databases, including contact information, musician contracts, rosters, part assignments, attendance records etc. 

  • Maintain OPAS Online to keep information current, including rehearsal orders, rosters, employee forms, etc.  

  • Along with the Orchestra Personnel Manager, hire Guest (Extra/Substitute) Musicians as required by the repertoire and by absences and leave requests.  

  • Responsible for timely distribution (online/physical/electronic) of information regarding weekly schedule, rosters, instrumentation, etc. to ASO Musicians, Extra Musicians, and ASO staff.  

  • Collect new hire paperwork from musicians and ensure paperwork is completed and provided to Human Resources in a timely manner.  

  • Collaborate with Human Resources to communicate any musician change requests throughout the year.  

  • Assist with auditions 

  • Assist in preparation of orchestra payroll and pension reports. 

  • Other duties and responsibilities as may be assigned.

Education and Experience: 

  • Experience in orchestra personnel, operations, administration, or equivalent combination of education and experience
