UW Medicine Advancement has an outstanding opportunity for an Advancement Services Officer to join their team.

Reporting to the Senior Director for Donor Relations, the Advancement Services Officer serves as a trusted operational partner to multiple senior leaders and their teams. This includes the Senior Director for Donor Relations and the Senior Director for Collaborative Fundraising Strategy. This role combines project coordination, donor stewardship support, administrative operations, communications, and relationship management to help advance philanthropy that supports patient care, research, and education across UW Medicine. The position thrives in a fast-paced, collaborative environment and works closely with faculty, donors, leaders, and partners across UW Medicine and the University of Washington.

What You Will Do

Development Operations (60%)

  • Manage and coordinate donor relations and collaborative fundraising projects, timelines, and operational priorities across multiple initiatives.

  • Support donor stewardship and recognition efforts, including milestone giving programs, acknowledgments, endowed appointments, and customized engagement activities.

  • Generate reports, track fundraising-related activity, and maintain project documentation, workflows, and standard operating procedures.

  • Provide administrative support for philanthropic fund transfers, gift administration, and cross-organizational fundraising initiatives.

  • Prepare communications, presentations, meeting materials, and progress updates for internal stakeholders and leadership.

Administration (20%)

  • Coordinate complex calendars, meetings, travel arrangements, onboarding activities, and special projects for assigned leaders and teams.

  • Prepare correspondence, meeting briefings, minutes, reports, and presentation materials while ensuring accuracy and confidentiality.

  • Partner with centralized administrative teams to improve processes, support office operations, and deliver exceptional customer service.

Leadership and Inclusiveness (10%)

  • Build and maintain productive relationships with donors, faculty, colleagues, vendors, and community partners.

  • Promote collaboration, continuous improvement, professionalism, and thoughtful consideration of all perspectives in daily work.

Required Qualifications

Minimum Qualifications

  • Bachelor's degree and two or more years of experience in administration, fundraising, events, community relations, marketing, higher education, or a related field.

Additional Qualifications

  • Strong computer proficiency, including Microsoft Outlook, Word, Excel, PowerPoint, SharePoint, and Teams. Demonstrated ability and willingness to learn and adopt new technologies and software applications.

  • Excellent organizational, project management, and problem-solving skills, with the ability to manage multiple priorities, work independently, exercise sound judgment, and meet deadlines in a fast-paced environment.

  • Strong oral and written communication, interpersonal, and customer service skills. Ability to build effective working relationships with a wide range of internal and external stakeholders and maintain confidentiality.
