Your Specific Responsibilities:
This position will be responsible for providing customer service, information about services, preparing of medical and computer records, making necessary appointments by clients or providers. This position performs independent judgement in the security and maintenance of medical records in a centralized area. Is responsible for reviewing policy and Procedure Manuals and Security Confidentiality Manuals.
Scheduling: Greets all in calling clients. Handles the scheduling of the clinic appointments based on the program and services requested. Applies knowledge and understanding of the FDOH-Lake eligibility process. Provides clients with information relating to the eligibility process along with detail on what items will be needed. Direct and refer callers and inquiries to proper resources, departments or agencies. Ensure the efficiency and effectiveness of the FDOH-Lake clinic and the flow of clients. Maintains knowledge of FDOH-Lake programs, services and fees. Assist in training of new employees. Responsible for maintaining knowledge of Standard Operating Procedures, Policy and Procedure Manuals and Security and Confidentiality Manual. Serves as intake and/or exit clerk in the clinical setting as needed.
Prior Authorizations: Obtains prior authorization from client’s insurance before the client’s appointment is scheduled, documenting this in the notepad in client’s electronic health record and scanned into the client’s chart and then scheduling appointment when completed.
Processes all Healthy Start applications received and returns any incorrect applications to the local provider in the community for corrections. Submits monthly and/or quarterly data to the Healthy Start Coalition.
Schedules: Reviews upcoming schedules for all clinics and all providers for accuracy: correct type of appointment, correct length of appointment, correct provider, client entered in HMS, FloridaShots as needed, insurance information, and authorization as needed. Corrects errors and addas notes on notepad as needed.
Performs other duties as assigned as deemed necessary to clinic coverage including back up for any senior clerk staff position.
Responsible for participating in staff meetings and trainings.
Required Knowledge, Skills, and Abilities:
Customer Service, Computer Programs-Data Entry, Use of Excel, Word, Outlook, use of Fax, and Copier.
Qualifications:
Minimum –
- Willing to work before, during, and/or beyond normal work hours or days in the event of an emergency. This may include working in a special needs or Red Cross shelter, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural
- Willing to travel between clinic sites throughout Lake County
Preferred –
- Bilingual (English/Spanish)
- Medical Office Experience
- Electronic Health Records Experience
- Experience answering office phones
