Job Duties

Supervising Deputy Clerk (Grade 9). Under general supervision of and reporting directly to the Supervising Deputy Clerk, supervises, assists, coordinates, reviews and evaluates their assigned division while performing a variety of court support work; develops work methods and procedures; recommends procedural changes; responsible for training from new hires to experienced deputy clerks in current and new areas of assignments; and to do related work as required.

Essential duties and functions, pursuant to the Americans with Disabilities Act, may include the following. Other related duties may be assigned.
• Assist the supervisor with the day-to-day operations and support staff associated with the assigned division
• Performs quality control to ensure accuracy of court records
• Advises staff regarding questions of procedures, coordination of operations and supervisory issues
• Contributes to the efficiency and effectiveness of the assigned departments service to its customers by offering suggestions and directing or participating as an active member of the General District Court team.
• Develop and implement training guidelines for new hires or reference guide for established employees
• Records management-responsible for all aspects of docket and courtroom management. Ensuring that dockets are prepped timely, and that all policies and procedures regarding casework are adhered to.
• Opens, stamps, distributes, and assists with researching incoming filings and documents
• Processes/assessments of fines, cost, fees, and all other types of financial requirements related to court hearings
• Maintains a positive work atmosphere by behaving and communicating in a positive manner with customers, employees, Judges stakeholders, and other supervisors
• Maintains regular attendance and punctuality
• Assists Supervising Deputy Clerk and supervisory staff with other daily miscellaneous tasks as needed/assigned

Minimum Qualifications

Must possess required knowledge, skills, abilities, experience and be able to explain and demonstrate with or without reasonable accommodations, that the essential functions can be performed.
• A minimum of three years of experience in a General District Court or equivalent in a management position that is non-court related
• Basic knowledge of principles and practices of employee supervision, including selection, work planning, organization, performance review and evaluation, and employee training and discipline
• Knowledge of principles and practices of developing teams, motivating employees, and managing in a team environment
• Knowledge of legal office management, practices, and procedures including records management and operation of standard office equipment
• Knowledge of applicable laws, codes, terminology and regulations
• Knowledge of policies, procedures, rules and regulations related to court operations
• Knowledge of correct business English, including spelling, grammar, and punctuation
• Skilled in developing and implementing goals, objectives, policies, procedures and work standards
• Ability to plan, organize, supervise, review, and evaluate work of others
• Ability to keep confidential information private regarding employee· personnel matters and sensitive administrative matters
• Ability to understand, apply and explain court and legal procedures and the ability to train others in policies and procedures related to work
• Ability to prepare and review clear and concise reports, procedures, compiling and summarizing information and preparing periodic or special reports, correspondence and other written materials
• Ability to analyze and resolve varied legal office administrative and personnel problems
• Ability to establish, research and maintain legal office files
• Ability to meet critical deadlines
• Ability to establish and maintain effective professional working relationships with the Clerk of Court, Supervisors, employees, Judges and stakeholders
• Ability to contribute effectively to the accomplishment of team or work unit goals, objectives and activities
