JOB SUMMARY

The Vocational Office Assistant provides a variety of administrative support to the Success Center, for the Vocational, Educational, and Workforce Development Pillars

 

ESSENTIAL FUNCTIONS

Essential functions are duties that are primary to the position or the reason the position exists.  An individual must be able to perform the essential functions of the position with or without reasonable accommodations. 

  1. Assist Director and Advisors with organizing paperwork for vocational programs

  2. Assist Director and Advisors with communicating client participation in vocational programs

  3. Assist Director and Advisors with office organization

  4. Maintains Vocational Data and Shared Documents

  5. Positively represent the program through appropriate interaction, personal appearance, and attitude

  6. Efficiently operates a telephone and other office equipment

  7. Collects information in a thorough manner 

  8. Accurately provides information regarding program services 

 

SECONDARY FUNCTIONS

Secondary functions are duties, which are not exclusive of the position, can be performed by other positions; however, secondary functions are to be performed for the efficiency of Compass Community Health, Inc.  

  1. Completes clerical work as assigned such as typing, filing, generating reports

  2. Performs any other duties as assigned by management

  3. Establish and maintain effective working relationships with both clients and staff

 

COMPETENCIES

  1. Knowledge/skill regarding office practices and procedures

  2. Skill in operating office machinery with speed and accuracy

  3. Ability to effectively communicate

  4. Demonstrates appropriate understanding of working with confidential material and situations

  5. Ability to understand and assimilate new information quickly

  6. Advanced in Problem Solving and Decisions Making skills

  7. Attention to detail with the ability to organize and plan 

  8. Knowledge of Microsoft Word & Excel

Qualifications

MINIMUM QUALIFICATIONS, INCLUDING TRAINING AND EXPERIENCE

  1. High School diploma or equivalent

  2. Prior experience in an office setting of at least one (1) year preferred and/or formal secretarial training including computer experience

  3. Knowledge about the disease of alcohol addiction preferred

  4. Maintains applicable agency trainings.
