Job Summary
We are seeking an Associate-level Creative Operations Coordinator to support our Creative Operations Manager in defining, implementing, and continuously improving the processes that enable our creative teams to do their best work. This is an internally focused, highly collaborative role centered on operational excellence, team enablement, and scalable workflows. You will manage critical behind-the-scenes functions that keep our teams aligned, resourced, and set up for long-term success.
Responsibilities
Manage end-to-end onboarding for new hires, including equipment setup, account provisioning, security training, and required documentation
Coordinate offboarding processes for departing team members, ensuring timely access removal and documentation completion
Troubleshoot basic IT and setup issues for new hires to ensure a smooth start
Create, organize, and maintain onboarding documentation in partnership with hiring managers
Support weekly resourcing and staffing meetings by taking notes, tracking conflicts, and documenting follow-ups
Track, maintain, and communicate team vacation schedules, availability, and coverage plans
Fulfill short-term and last-minute resourcing requests to support business and project needs
Assist the Recruiting team in tracking open roles, candidates, and hiring status
Act as a central communication hub for creative teams, ensuring timely and clear information flow
Collaborate cross-functionally with HR, Recruiting, Production, and other operational partners
Build strong working relationships with team members and leaders at all levels
Support internal team engagement, culture, and creative community-building initiatives
Use Google Suite (Docs, Sheets, Calendar, Email) and Slack to manage workflows, documentation, and communication across teams
Operate effectively across multiple time zones, including alignment with PST working hours
Qualifications and Job Requirements
3+ years of experience in Creative Operations, Project, Production, Account Management, Resourcing, and/or Studio Management within an agency or similar fast-paced creative environment
Strong time management and prioritization skills, with proven ability to manage multiple projects and teams across time zones and locations simultaneously
Exceptional attention to detail in both written and verbal communication, with the flexibility to adapt quickly in a dynamic, creative setting
Demonstrated experience building and maintaining effective working relationships with cross-functional leaders at all levels of the organization
A strong sense of urgency, comfort working in ambiguity, and the ability to stay organized and proactive with limited direction

Own onboarding operations for new team members and projects, including managing equipment, location, and account submissions for new hires and departures in coordination with HR and IT
Facilitate new hire onboarding, including security training and basic IT troubleshooting
Partner with hiring managers to organize, create, and maintain onboarding documentation
Support resourcing meetings and team operations by taking meeting notes, tracking resourcing flags, and sharing updates in appropriate communication channels
