Job Description
The Council Assistant provides administrative support for a Dallas City council member to ensure daily office operations and council member activities are carried out in an effective manner.
Essential Functions1 Organizes and coordinates City council member activities such as Town Hall meetings, community meetings, travel arrangements, and other related activities to ensure administrative effectiveness of council member.
2 Maintains a calendar of events for the council member by making appointments, scheduling conferences, confirming meetings, and reminding council member of commitments to ensure smooth progression of daily activities.
3 Serves as a mediator or link between City Manager’s Office, council member, and citizens to establish and ensure clear and open lines of communication among the parties.
4 Provides assistance to council member, citizens, and other inquirers; researches data, answers questions and complaints, and makes referrals to the appropriate department to provide them with adequate information regarding City policy and procedures.
5 Oversees, monitors, and supports secretarial staff to ensure duties such as typing, light researching, customer service, filing, etc. are carried out in an efficient and timely manner.
6 Attends meetings and ceremonial functions to make presentations or represent the council member to whom they are assigned.
7 Drafts and composes letters, memos, agendas, and correspondence to provide assistance to council member.
8 Monitors council member expenses and activities and submits reports to the Mayor/Council Office to ensure council member operates within State and City guidelines.
9 Performs any and all other work as needed or assigned.
Knowledge and Skills1 Knowledge of City policies and procedures.
2 Knowledge of City operations and functions in each department.
3 Knowledge of current events that impact the City and councilmember's district.
4 Ability to conduct research and compile reports.
5 Ability to use office machines including personal computer, copier, and fax machine.
6 Communicating effectively verbally and in writing.
7 Establishing and maintaining strong working relationships.
Experience3 years experience in an administrative support role
Licenses and CertificationsNone
EducationHigh School Diploma, GED
