Coordinator, Computerized Maintenance Management Systems

About the role
POSITION SUMMARY:
Provide coordination and communication for facility services for assigned properties including but not limited to, Computerized Maintenance Management System (CMMS), reporting, scheduling, follow up, analysis and system upgrades.
ESSENTIAL FUNCTIONS:
CMMS Data Maintenance
- Works closely with Chief Building Technician(s) to ensure that all assets are accurately entered into CMMS, update all preventative maintenance schedules, asset information, and procure goods and vendor services.
- Input and monitor all tenant service requests in CMMS and assist with dispatching Building Technician team accordingly. Notify Chief Building Technicians when service tickets are not addressed timely.
- Provide updates to and ensure tenant satisfaction with request completion.
- Maintain team’s project calendar to include maintenance schedule, projects, after-hours teams and on-call schedule updates.
Life Safety
- Ensure life safety systems are inspected, tracked, and documented correctly, adequately and timely.
- Coordinate life safety quotes, contracts, inspection activities with both internal team, vendor, and tenant community.
- Work with Property Management team to coordinate annual fire drill evacuation and other life safety exercises.
Project Coordination
- Quality control building systems projects and finalize projects with punch lists, approvals and payments.
- Submit reports as needed to interoffice and tenant safety personnel.
- Identify O&M repairs and replacements needed through review of vendor Work Orders and CDP CMMS and engage vendor(s) for proposals and generate contracts.
- Oversee completion of vendor repairs to building systems including HVAC, plumbing, mechanical, electrical, etc. through completion and receiving in purchase order and contracts system.
- Coordinate with mechanical business partners to ensure that all work order tickets are complete and enter details and work order tickets into CDP’s CMMS.
Vendor Coordination
- Identify new vendors and building services to improve the portfolio.
- Coordinate and monitor access for subcontractors performing maintenance or repair work.
- Work closely with and provide support to CDP’s Outage Coordinator team to ensure that all schedule projects and work have been submitted, including required documentation, approved, and an associated outage number has been received.
- Submit vendor quotes to Project Engineering Team for proposal to be issued to USG Tenant and provide support with coordinating escorts, outages, and required documentation to be submitted to USG.
Budget
- Ensure monthly and quarterly reports are accurate and routed correctly.
- Assist with budget preparation for facility systems Operations and Maintenance (O&M) budget lines.
- Request and receive quotes from vendors and contract
SECONDARY RESPONSIBILITIES:
- Assist with required government reports for facility systems.
- Provide back-up to the Facility Systems team and CSSO as required.
- Perform other job-related duties as assigned.
QUALIFICATIONS:
Education: High school diploma or equivalent.
Professional Experience:
- Minimum of two years of relevant experience.
- Experience with government procedures and policies.
Computer Skills:
- CMMS experience required. Maximo experience preferred.
- PC proficiency, to include but not limited to, Microsoft Office applications (Word, Excel, Outlook, etc.) and ability to learn company specific software.
- Ability to adapt to new or changing software programs.
Mobility: Travel to CDP buildings within portfolio required.

- Ability to prepare and manage projects, bids and invoices.
- Must possess a valid driver’s license and ability to operate a motor vehicle.
- Basic knowledge of general maintenance.
- May be required to carry and maintain appropriate government credentials.
