This Opportunity

WSP, a world-class multi-disciplinary engineering consulting firm, is seeking a Construction Administration Department Assistant for our New York Office. Be involved in projects with our Property & Buildings Team and be a part of a growing organization that meets our client’s objectives and solves their challenges. We work closely with architects and owners from around the world on large, complex projects.

Your Impact
  • Process and monitor construction submittals for projects we have designed. This includes electronic copies of large-scale drawings and product information for specific projects.
  • Distribute, collect, log in, and log out submittals and RFIs to multiple project teams (and multiple disciplines on a project).
  • In the custom data base system, Newforma, log in all submittals. Once logged, send to reviewer for each project.
  • In a custom data base log out reviewed submittals based on review schedule.
  • Upload engineer reviewed documents to various client data exchange sites
  • Maintain central transmittal documentation file of items currently reviewed.
  • Run multiple weekly reports for each project indicating reviewed and outstanding submittals.
  • Maintain active central projects file.
  • Managing the filing space available.
Who You Are

Required Qualifications

  • Highschool Diploma  
  • 0-2 years of experience, recently concentrated in an administrative or project support role.
  • Proficient in MS Word, Acrobat Pro, and generally the MS Office Suite.
  • Detail oriented, highly organized, possess strong written and oral communication skills, and ability to work with team members in a fast-paced, deadline driven environment.
  • Ability to contribute and interact well with others and develop and manage high-quality professional deliverables on projects and tasks. 
  • Proven track record of upholding workplace safety and ability to abide by WSP’s health, safety and drug/alcohol and harassment policies.
  • Job expectation would be for this role is to be in WSP's office in person a minimum of 3 days/week to fully immerse and collaborate with the Project Management team.

Expected Salary: $35,800- $58,960
