Graduate Studies Assistant Dean of Advisement
 

The Assistant Dean of Advisement in BYU Graduate Studies leads and coordinates advisement policies and related processes across the University for approximately 3,000 graduate students.  The assistant dean directly advises at-risk graduate students -- and trains graduate program managers, graduate program coordinators, and college associate deans how to appropriately advise and support all the University’s graduate students.

What you will be doing in this position:

Actively lead the creation and implementation of all policy, procedures, and processes for graduate programs in the context of advisement, while also ensuring departmental compliance with University and Graduate Studies requirements and accreditation considerations for graduate students.

• Identify potential issues relating to departmental operations regarding advisement processes / policies, and liaise with the Dean of Graduate Studies and other relevant University departments as necessary -- including the Office of General Counsel, Honor Code Office, Accessibility Center, and Title IX Office.

• Lead and assist in the interpretation of and adherence to University and department policies and procedures.

• Assist programs and students in understanding University and college policies related to academics, conduct, petitions, accommodations, transfers, absences, withdrawal, dismissal, readmission, and other graduate student matters.

• Oversee the electronic thesis and dissertation (ETD) approval process, maintain integrity of ETD data and in conjunction liaise with the University Library.

• Direct the bi-annual graduate student evaluation process.

• Lead, oversee, and approve all department requests for the official graduation clearance of enrolled graduate students.

• Manage the implementation of advisement for new graduate programs.

• Provide project management for relevant curriculum additions, deletions, and changes.

• Oversee adherence to both University and Graduate Studies policies and procedures with regards to advisement issues.

• Collaborate with OIT to develop, maintain, manage, and innovate in advisement technologies and platforms, such as AIM, Y-SIS, and GradProg.

• Determine and utilize the most effective delivery tools for campus-wide dissemination of advisement information and training.

• Assure quality of written communication and published materials, including the Graduate Studies website and graduate catalog.

• Attend professional development training and conferences.  Collaborate with other institutions to stay current on best practices and key trends.

Training and Consultation

• Provide daily leadership and advisement to colleges, graduate departments, graduate programs, faculty, and staff regarding compliance with the established University graduate student advisement policy and procedures.

• Collaborate with International Student Services, enrolled graduate students, and graduate programs to ensure federal compliance with established international student regulations at the graduate level.

• Collaborate with the BYU Office of Belonging to drive and promote belonging among the BYU community and particularly among BYU graduate students.

• Develop and implement both strategies and tactics to promote a positive image of all graduate programs and of the University.

Represent BYU Graduate Studies with the University at large and on appropriate committees, such as various advisement committees and the University’s Electronic Thesis and Dissertation Committee.
