Job Overview
This is a part-time position is the assistant to the Department Chair and in that role manages the administrative, research and operational logistics for the Department of Neuroscience. This person has several roles in GMS which include Timekeeper, Finance requisitioner, initiator of reimbursements, and expenses through accounts payable. Is the office liaison to the technology office, telecommunications, facilities, and various other service contracts that involve internal and external vendors. Until a Program Coordinator for the MS and PhD program this person will assist with that work.
Additional duties include, but are not limited to:
Managed employee timekeeping in GMS, ensuring accurate hours, leave, and payroll compliance.
Processed financial requisitions in GMS with proper coding, documentation, and budget alignment.
Submitted and tracked reimbursements and expense requests through Accounts Payable, resolving issues as needed.
Coordinated service contracts with internal teams and external vendors, ensuring clear terms and timely execution.
Maintained organized records and provided support across timekeeping, procurement, and contract workflows to ensure smooth operations.
Work Interactions
Acts as a liaison for the Department Chair in the Neuroscience Department. Interactions with the Chairman, Operations Manager, Facilities, Students, Laboratory Management, Faculty, Laboratory safety, and various other departments at GUMC. Also interacts with Accounts Payable, HR, Purchasing and Contracts, Treasury and Sponsored Accounting as well as external resources essential to the operations of the department and graduate program. Interacts with the BGE staff, Medical Center faculty, Directors of Graduate Studies, GU Office of Communications, UIS, Graduate School of Arts and Science, Office of the Registrar and Office of International Programs.
Requirements and Qualifications
Bachelor’s degree with a minimum of 3 – 5 years of experience in administration, higher education, and program management
Must have strong computer and work processing abilities and comfortable using Window and Mac environments
Advance use of e-mail and browser applications, MD+S Office Suite, intermediate use of graphics and publishing software (Photoshop, Acrobat, Illustrator, InDesign) Drupal, HTML, social media and intermediate transcriptions skills is essential
Knowledge of medical Terminology, strong proofreading skills, familiarity with grant agencies and publishers formatting and submission guidelines, advanced document production and distribution skills, and strong organization and communication skills
Excellent organizational and interpersonal skills
Attention to detail and ability to maintain the confidentiality of data and information

Pay Range
The projected hourly pay range for this position which represents the full range of anticipated compensation is: $31.50- $38.50. Compensation is determined by a number of factors including, but not limited to, the candidate’s individual qualifications, experience, education, skills, and certifications, as well as the University’s business needs and external factors.
