Summary of Role: Reporting to the Chief of Staff, the Administrative Assistant will provide technical, general, and clerical administrative support to the Chief of Staff, Managing Partner, Chief Strategy Officer, Chief Operating Officer, and other departments as assigned.
You will be responsible for:
- Assist the Chief of Staff in support of the Managing Partner, Chief Strategy Officer, and Chief Operating Officer, along with various general Firm needs
- Proactive management of calendars for leaders, including scheduling internal and external meetings
- Prepare and process monthly billing invoices, statements, expense reports, and timesheets
- Coordinate travel arrangements on a regular basis
- Arrange meeting logistics including conference rooms, AV, catering, meeting materials for internal and external meetings
- Organize and coordinate Firm events
- Compose and finalize routine correspondence, reports and other document types as needed, including engagement letters and other client communications
- Receive, read and route incoming mail on behalf of assigned Partners
- Support in the development and implementation of standardized processes and procedures within the Firm
- Demonstrate discretion and professionalism in handling sensitive or confidential information
- Organizational support, including but not limited to inbox management, as back up for Chief of Staff
- Provide support for Firm Services departments as assigned by the Chief of Staff
- Act as back up for other Executive Assistants as needed
- Perform other duties as assigned

- Experience in managing multiple assignments and projects with conflicting priorities
- Ability to work under pressure of short and demanding deadlines in a fast-paced environment
- Proficiency in following complex, multi-step procedures to complete tasks
- Outstanding verbal and written communication
- Excellent organizational and interpersonal skills
What skills & experience you’ll bring to us:
- Bachelor’s degree or higher is preferred
- 5+ years’ experience in an administrative support role
- Previous work experience in a Professional Services/CPA firm specifically supporting partners/principals is preferred
- Proficiency with Microsoft Office Suite and operating computer hardware
- Ability to type 75 words per minute accurately
