HR Generalist - Total Rewards

Position Summary
The HR Coordinator – Talent Acquisition & Workers’ Compensation Administration provides administrative and coordination support to Daiso USA’s Total Rewards team, with a primary focus on onboarding, recruiting administration, workers’ compensation documentation, and HR operational support. This role helps ensure new hires, associates, managers, store teams, and external partners receive timely support and that HR processes are completed accurately and consistently across Daiso’s multi-location retail environment.
This position is best suited for someone who is highly organized, detail-oriented, responsive, and comfortable managing documentation, follow-up, and system updates in a fast-paced environment. The role is administrative in nature and requires strong communication, accuracy, confidentiality, and follow-through.
Key Responsibilities
Onboarding & Talent Acquisition Administration
- Support the administrative steps of Daiso USA’s hiring and onboarding process
- Process offer letters, onboarding documents, new hire paperwork, employment-related forms, and required pre-employment follow-up.
- Track completion of background checks, employment eligibility documentation, onboarding tasks, and start-date requirements.
- Communicate with candidates, hiring managers, store leaders, district/area leaders, and internal HR partners to support a smooth onboarding experience.
- Maintain accurate candidate and new hire records in UKG and other applicable HR systems.
- Assist with job postings, requisition updates, candidate dispositioning and hiring documentation as needed.
- Follow up with hiring managers and candidates regarding missing documents, approvals, or required onboarding steps.
- Help ensure onboarding activities are completed in accordance with Daiso USA policies, wage guidelines, approval processes, and compliance requirements.
Workers’ Compensation Administration
- Provide administrative support for Daiso USA workers’ compensation claims, including intake, tracking, documentation, and follow-up.
- Assist with collecting incident reports, supervisor or manager reports, witness statements, photos, video evidence, medical notes, work status updates, and related documentation.
- Maintain organized workers’ compensation files and help ensure claim documentation is complete, accurate, and timely.
- Submit or assist with submitting claim information to the appropriate insurance carrier, third-party administrator, clinic, or internal HR partner.
- Track claim status, work restrictions, return-to-work dates, modified duty documentation, light duty offers, and follow-up items.
- Coordinate communication between associates, store managers, district/area leaders, clinics, claims adjusters, third-party administrators, and internal partners.
- Follow up with field leaders and store teams to obtain required documentation or updates.
- Assist with preparing light duty, return-to-work, and claim-related correspondence under HR leadership guidance.
- Maintain confidentiality of medical, workers’ compensation, and employee information.
HR & Total Rewards Administrative Support
- Provide general administrative support to Daiso USA’s Total Rewards team, including benefits, compensation, payroll, compliance, and HR operations projects.
- Respond to basic associate and manager questions or route inquiries to the appropriate HR contact.
- Monitor HR tickets, shared inboxes, task queues, or system workflows and ensure timely follow-up.
- Maintain employee records, files, reports, trackers, and system updates.
- Assist with audits, data entry, reporting, document organization, and compliance-related tracking.
- Support creation and maintenance of HR forms, checklists, SOPs, process guides, and associate communications.
- Partner with Payroll, Benefits, Talent Acquisition, Operations, and HR leadership to support completion of HR processes.
- Assist with special projects and other administrative duties as assigned.
Qualifications
- High school diploma or equivalent required; associate’s or bachelor’s degree in Human Resources, Business Administration, or related field preferred.
- 1–3 years of administrative, HR, recruiting, onboarding, payroll, benefits, workers’ compensation, or office coordination experience preferred.
- Experience supporting high-volume hiring, retail, warehouse, distribution, or multi-location teams preferred.
- Experience using HRIS, ATS, payroll, or case management systems preferred; UKG experience a plus.
- Basic understanding of HR processes, onboarding, workers’ compensation, employee records, and confidentiality requirements preferred.
