About the role

Position Overview

The Producer serves as a key team contributor in all aspects of event production, design for live, virtual and hybrid events. The ideal Producer is highly organized with event production experience and knows how to contribute to bringing to life a creative vision. This position requires an elevated skillset including negotiation expertise and business and marketing skills to manage project needs. Supporting an Executive Producer (as well as leading their own projects) and a Fortune 500 client base, the Producer will work closely with production counterparts (in-house and freelance), internal sales professionals, program managers, end clients, and suppliers, to execute to the clients’ vision.


This is a remote position. Candidates in the Chicago area are highly preferred and may choose to work from our Schaumburg office.

 

Responsibilities

 

Event Management:

  • Works closely with the executive producer, pre-sale and event operations teams; functions as production contact for teams during the live, virtual and/or hybrid meeting design and execution process.
  • Participates in client meetings and conference calls and is to be particularly focused on executing the client’s vision and that of the executive producer, creative director and other stakeholders.
  • Collaborates with the operations team to manage budget, timelines, project progress, etc.
  • Provides weekly updates on hours/budget within each project to others in the team.

 

Pre, During, and Post-Production:

  • Establishes a trust level with clients, and internal teams, in order to build long-lasting relationships, leading to new opportunities.
  • Works closely with the executive producer to assist in the development and management of proposals, budgets, project timelines, creative solutions and client and supplier partner contracts.
  • Works closely with supplier partners on bid submissions, quote management and contracting of services.
  • Has familiarity with creating an event’s technical specifications, in partnership with a technical director, and is comfortable in reading and understanding resulting gear and labor quotes.
  • Can lead an event’s content coordination process and work with clients and presenters on their presentation’s logistical needs.
  • Can translate client agendas into runs of show (ROS) and manage throughout its development and final execution on-site by the stage manager.
  • Assists the executive producer and program manager in coordinating logistics and overall production of events, including but not limited to, site visits, production supplier partner procurement, schedule planning, coordination of scenic, platform branding, and more – always maintaining frequent and thorough communication with both clients and team members.
  • Coordinates the production and handoff of final deliverables, including notes, production documents, content files, program recordings, etc.
  • Leads execution of production logistics onsite: crew call times, communication with crew, vendor management, crew F&B, security and other tasks as assigned by the executive producer.

 

Additional Department Duties:

  • Integrates new technologies/stays abreast of all new opportunities in event production and suggests new ways to implement these trends/technologies.
  • Collaborates with executive producer and VP of production to develop and improve workflows.
  • Writes, updates, and maintains documentation related to the role.
  • Will perform other duties as required.

 

Requirements:

  • Bachelor's degree from an accredited college or university with major course work in marketing, business administration, graphic or fine arts, digital design, computer science or a related field required, or a combination of education and work experience in a similar position
  • Comfortable working closely with senior level executives globally
  • Possess a strong set of hands-on production skills
  • Strong understanding of all areas of event production, including audio recording and mixing, lighting, staging, projection, etc. for live stage events and virtual meetings
  • Track record of producing high-quality large-scale meetings and events
  • Understanding of best practice production methodologies
  • Proficient knowledge with Microsoft office software
