City of Fort Worth Development Services seeks to make Fort Worth the most livable city in Texas by promoting orderly growth and development, safe construction, and neighborhood vitality. Within this department, the Development Services Water Section (DSWS) helps ensure that new developments follow the installation policy and design criteria manual for water, wastewater, and reclaimed water infrastructure. The Development Services Water Section is seeking a detail-oriented Administrative Assistant to take the lead in handling the administrative functions for this section.
Minimum Qualifications:
- Associate’s Degree from an accredited college with major course work in Business Management, Public Administration, Business Administration or related field
- Four (4) years of clerical and administrative experience.
Preferred Qualifications:
- Exemplary customer service skills and experience
- Solid work ethic, attention to detail, initiative, and resourcefulness
- Intermediate to advanced skills in Microsoft Office (Word, Excel, Outlook)
- Ability to prioritize, multi-task, and work in a deadline-driven environment
- Excellent proof-reading skills and attention to details
- Experience using Accela or other Building Permitting System
- Bilingual skills, Spanish/English
The Administrative Assistant job responsibilities include:
- Receive and coordinate Auxiliary and Level of Effort reviews to the appropriate individuals or teams for certain projects
- Drafting and handling Mayor & Council Communications (M&Cs) to be approved and completed by appropriate City Council deadlines, ensuring accuracy and timely communications
- Process Water Department Policy Variance Request, including the intake, coordination with the Engineering Manager and Water Department Director for review and approval, logging the variance requests, uploading executed variances for recording purposes, then distributing final requests back to the requestor and City personnel associated with the projects
- Reviewing Water Reconciliation Notices to be processed for refunds of Water Lab Fees in a timely manner
- Routing Abandonment and Privatization Agreements for signatures and approvals, coordinated with the Graduate Engineer
- Managing and coordinating the Development Services Water Section team’s calendar to assist the Engineering Manager and overseeing and assessing current workloads and availability of staff
- Reviewing and updating the team’s Key Performance Indicators (KPIs) for monthly management meetings
- Coordinating weekly team meetings, creating agendas, and taking meeting notes
- Assist with team mailbox and filter emails to correct subtasks and coordinate a timely response to high-priority requests
- Coordinate with the Development Service Water team members and purchasing coordinator to order basic office supplies as needed
