Job Details:
The College of Liberal Arts and Sciences is searching for an Administrative Support Assistant to support multiple academic units, including Art & Design and the Mathematics & Statistics on the Macon, Georgia campus.
Responsibilities:
The Administrative Support Assistant provides administrative support to the Department of Art and Design and the Mathematics and Statistics department. Responsibilities include, but are not limited to, ordering and budget monitoring for departments, credit card reconciliation, travel reconciliation, answering the telephone, and making travel arrangements as needed. This position ensures the smooth operation of offices, including meeting schedules, ordering office supplies, and liaising with Campus Reservations, Physical Plant, National, IT, Accounting, and other administrative departments as needed.
This position's time will be divided between the Department of Art and Design in Hardman Hall and the Mathematics and Statistics Department in Ware Hall as arranged by the directors of each program.
This is an 11-month position working 37.5 hours per week from August 1 to June 30 each year and is off during the month of July.
Qualifications:
High School Diploma/GED and one year of administrative support experience are required.
Knowledge/Skills/Abilities:
Proficiency in Microsoft Office Suite (Word, Excel, and Outlook) to prepare correspondence, reports, spreadsheets, and other business documents.
Ability to effectively utilize email and internet tools to support daily operations, including communication, scheduling, and coordination of departmental activities such as meetings, events, and room reservations.
Ability to learn and use enterprise systems and platforms, including Workday and Anthology.
Knowledge of standard office practices, procedures, and equipment, including preparation and processing of requisitions and departmental documentation.
Ability to communicate professionally and effectively with faculty, students, staff, and community members.
Strong organizational, time management, and problem-solving skills, with the ability to work independently, prioritize workload, and manage multiple responsibilities.
Demonstrated interpersonal skills with the ability to collaborate effectively across a variety of personalities, programs, and functional areas.
Basic understanding of contemporary technology to facilitate communication and coordination with faculty and technical support teams.
Ability to support specialized departmental functions, including coordination of materials and resources related to programmatic or instructional needs.
Base salary is $15 an hour up to commensurate with experience.
