As Chief Executive Administrative Assistant, you will provide comprehensive administrative support for a C-level executive. This position requires consistent application of independent judgment utilizing exceptional organization skills, attention to detail, initiative and relationship management. This position serves as a liaison of the senior executive regarding company programs, policies, procedures and assigned functions of the senior executive’s business segment.  The Chief Executive Administrative Assistant has wide latitude of responsibilities ranging from coordination of business travel to working independently on special assignments, overseeing projects and handling confidential business matters. 
 

What you will do:

  • Provide direct administrative support to executives at a senior level to enable the executive’s achievement of duties and ensure the executive’s assigned function or business segment operates efficiently and smoothly
  • Serve as first point of contact between function or business segment and external entities, prioritize inquiries and ensure information is disseminated to appropriate staff members for resolution or response
  • Greet, screen and entertain visitors to ensure coordination and communication of itinerary and changes
  • Respond to time-sensitive requests for information and assistance regarding the executive’s function
  • Draft communications to a variety of audiences on behalf of the executive via various communication formats
  • Screen telephone calls from multiple sources including other executives, customers, media and other sources
  • Work closely with executive to understand scheduling and issue priorities and ensure maximization of executive’s schedule and time
  • Make all travel arrangements, including completion of travel preauthorization form, travel expense claims and reconciliation. Coordinate and schedule meetings, coordinating meeting logistics and any staff support
  • May track and coordinate all business segment expenses and administration of budget
  • Organize hospitality and other events sponsored by the executive or on behalf the company


What you will bring:

  • Associate degree or equivalent work experience
  • 8+ years’ experience in an administrative support function supporting VP level or above
  • Very high proficiency in Microsoft Office Suite including PowerPoint, Word, Excel, Outlook, and Teams
  • High level of interpersonal skills and professionalism to be able to interact with all levels of executives, both internally and externally, as well as Board members
  • Ability to interpret and administer policies and procedures sufficient to administer, discuss, resolve and explain them to others
  • Attention to detail is required

This is a hybrid role based in Greenwood Village, CO and the Executive Assistant will be working in the office 3 days per week.
