TITLE: Administrative Assistant
DEPARTMENT: Compliance
DIRECT REPORTS: None
REPORTS TO: Compliance Manager
PURPOSE:
Administrative Assistants handle various administrative tasks including data entry, mailings, filing and other tasks as assigned.
DUTIES AND RESPONSIBILITIES:
- Scans incoming correspondences into FACS.
- Back up for receptionist-Breaks, lunch and when Receptionist is out of the office
- Handles correspondences where the correspondence is for more than one account.
- Media-assist with first and/or second check.
Scans media into client services folder with outgoing letter for internal record of what was sent.
- Fold Collection letters, put in envelopes, stamp with appropriate postage and mail letters.
- Adhere to the practices outlined in the Northland Group Information Security Management System. Additionally, I will:
- on an ongoing basis throughout my employment, understand and promote the Northland Group Information Security Management System.
- be a full participant in the culture of security at Northland Group.
- Sorts and distributes incoming mail.
- Entering accounts on excel reports for the Client Services Liaisons
- Assist Client Services Liaison with making copies, faxing to client and scanning documents that need to be saved.
- Client Audits-helps gather information/documents to fulfill audit requests
- Prepares and sends out-going overnight packages to include copying shipping document for Accounting, filing shipping documents and tracking packages to verify on-time delivery.
- Puts postage on all outgoing mail and makes sure the mail gets sent
- Assists with special projects.
- Performs all other duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES
- Excellent communication / interpersonal skills. Ability to communicate with internal and external customers in a pleasant manner.
- Knowledge of word processing and spreadsheet programs (preferably MS Word and MS Excel).
- Ability to use good judgment, use decision making skills, prioritize, be organized and pay attention to detail.
- Ability to handle confidential information
EDUCATION AND EXPERIENCE:
- High School diploma, GED or equivalent and/or training required. No prior experience necessary, but must be familiar with basic computer and data entry functions.
- 1 year of office experience preferred.
WORKING CONDITIONS
Standard office environment.
