At Lauderdale BMW Collision Center we are seeking a knowledgeable and customer-focused Administrative Assistant to join our team.

Job Responsibilities:

  • Answer all incoming calls in a courteous and professional manner. Utilize knowledge of dealership departments to direct calls efficiently and minimize hold times. Ensure accurate message-taking and proper documentation.
  • Uphold the cleanliness and aesthetic appeal of the showroom, including entrance, reception, and lounge areas. Keep the space organized, free of clutter, and ensure all amenities are stocked and presented neatly.
  • Immediately notify sales management of any damages or issues observed within the showroom to facilitate timely resolution and maintain a pristine environment for guests.
  • Adhere to dealership dress code standards and address customers as "guests," employing formal titles whenever possible. Exemplify professionalism in demeanor, language, and interactions with both customers and colleagues.
  • Foster a professional atmosphere around the receptionist workstation by politely reminding colleagues to avoid congregating or disruptive behavior in the vicinity.
  • Employ strong interpersonal skills to address customer concerns promptly and effectively, minimizing the escalation of complaints to higher management levels whenever feasible.
  • Provide assistance to various departments as required, including accurate document scanning for the service department, covering phone calls, and ensuring timely completion of paperwork with precision.
  • Demonstrate excellent verbal and written communication skills when interacting with customers and colleagues, fostering positive relationships and efficient collaboration throughout the dealership.
  • Perform all other duties and special projects as assigned

Qualifications:

  • High School Diploma or equivalent
  • Additional education, certifications, or experience are a plus
  • Proficient in various desktop tools including MS Office Programs (i.e. Outlook, Excel, Word, PowerPoint, Project, Visio, SharePoint etc.)
  • Familiarity with office technology and equipment, including computers, fax machines, scanners, printers, phone systems, etc
  • 1-3 years’ experience in administrative services or related fields Prior experience in an administrative role, preferably in a customer-facing environment, preferred but not required
