Budget & Operations Administrator

Brandeis University seeks to hire a Budget & Operations Manager to oversee budget and building/facilities operations for either the Division of Creative Arts/Humanities or the Division of Social Sciences, and the departments and programs therein, in collaboration with the Sr. Operations Admin for assigned area.
Key Responsibilities:
- Budget management: Build department and programs budgets with varying levels of complexity, requiring knowledge of different funding sources (university, gift, endowment, discretionary and grant) and endowed gift restrictions and proper application. Manage assigned department and program budgets, ensuring that departments and programs expenses do not exceed budget targets and that expenses are properly booked to different funding sources. This requires expert knowledge of the way the budgets are built, complex funding matrices, and endowment restrictions.
- Financial Reporting: Provide reports and analysis to Chairs, Admin and Operations Manager and Provost Finance team representative monthly. Monthly reports include analysis of spending, where expenses are booked and variance in spend categories. Also looks at budget utilization over time. Requires in-depth knowledge of funding sources, endowed gift restrictions, and budget priorities and timelines.
- Budget Compliance: Responsible for completing all fiscal year end tasks, such as ensuring no accounts are overspent and moving expenses between funding streams which requires independent decision-making on the best funding source for particular expenses.
- Purchasing and reconciliation: Oversee processing of fiscal related requests, including student wage payments. Order supplies as requested, process department and program expenses in COUPA, and consult with faculty on reimbursements and p-card reconciliations.
- Facilities management: For assigned buildings, coordinate faculty office space with the Dean’s office, complete university space planning survey and manage keys and swipe access of buildings in portfolio. Manage graduate student building access in conjunction with Grad Affairs Admin. Work with facilities on routine and emergency maintenance. Job Requirements:
Education: Bachelor's degree required.
Experience: 2-4 years of related work experience.
