The Role at a Glance
We are excited to bring on an Executive Administrator to provide administrative and project support across the Insurance Operations business. This will be a remote, work from home position.
Background Details
As the Executive Administrator, you will support the operations, personnel and general administrative needs of the Insurance Operations business, specifically supporting our VP level leaders within the Producer Solutions Operations and the Life and Annuity Claims and Regulatory Controls businesses. You will proactively coordinate and prioritize activity, ensuring topics of importance are communicated in an organized and efficient manner, leading projects and/or project coordination, and proactively identifying other areas in which you can provide further assistance.
This role will provide support and coordination for a variety of projects or initiatives to aid management, including senior leadership, in the successful and timely completion of projects. You will interact frequently with all levels of the organization as well as with key stakeholders outside of the organization. What you'll be doing
- You will manage the availability and commitments for business leaders supported including scheduling meetings, conferences and appointments while interacting with both internal and external executives and assistants as needed. You will arrange and coordinate any travel needs, including reservations and itineraries, and process/approve all expense reports.
- You will effectively ensure all meetings requiring executive attendance have a meeting agenda and target outcomes. You will work to ensure clear priorities and the optimum use of time, preparing the executive(s) for meeting by creating, gathering, and/or organizing material, identifying key questions to be prepared to answer, and preparing reference material in an effective structure. You will also take meeting notes.
- You will serve as a primary point of contact for internal and external parties, facilitating a professional image of the company, ensuring a positive experience, and proactively providing exceptional, high touch services as appropriate.
- You will operate behind the scenes to problem solve, mediate disputes, and manage issues before they escalate up to the executive(s), including delegating work to other appropriate parties, drafting communications for review, and personally executing tasks.
- You will prioritize and manage multiple projects simultaneously, coordinating project activities and follow through to facilitate successful and timely project completion. You will identify and recommend process improvements while considering relevant controls.
- You will produce executive level reports requiring data compilation and analysis. You will partner as needed with the executive(s) to capture strategies and messaging in innovative PowerPoint presentations. You will proactively conduct research to add value to the material.
- You will exhibit a positive attitude, work independently with minimal supervision, multi-task in a dynamic, ever-changing environment and demonstrate leadership to the support staff.
What we’re looking for
Must-have experience (Required):
- High School Diploma or GED or minimum Associate degree in lieu of required experience.
- 3-5+ Years of experience in administrative, operations, and/or project support that aligns with the responsibilities for this position.
- Ability to work with others in a fast-paced environment.
- Confident, comfortable communicator with strong written and verbal communication skills.
- Ability to anticipate and effectively manage frequent scheduling conflicts and extremely tight calendars.
- Comfortable acting without continuous direction. Demonstrates the ability to think critically, analyze information and evaluate the implications of a course of action or solution.
- Ability to identify and recommend process improvements.
- Adaptable and flexible as business needs change.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
