The position is part-time (Monday, Wednesday & Friday from 9:00am to 4:30pm) with competitive pay.
 

Job Summary:

The Office Administrator is responsible for managing the day-to-day administrative operations of the condominium association. This role involves coordinating with residents, vendors, and the management team to ensure smooth and efficient office operations.


Key Responsibilities:

  • Resident Services:
    • Serve as the primary point of contact for residents.
    • Address resident inquiries and concerns promptly.
    • Assist with the move-in and move-out process.
    • Issue Access Devices 
  • Administrative Duties:
    • Manage office communications, including phone calls, emails, and mail.
    • Schedule and coordinate meetings, appointments, and events.
    • Maintain office supplies and equipment.
  • Vendor Coordination:
    • Liaise with vendors and service providers.
    • Schedule and oversee maintenance and repair work, in addition to the maintenance technician.
    • Ensure compliance with contracts and service agreements as directed by the Property Manager.
  • Record Keeping:
    • Maintain accurate and organized records of all association activities.
    • Manage filing systems, (digital).
  • Communication:
    • Prepare and distribute newsletters, notices, and other communications to residents.
    • Update the association's website.
    • Coordinate with the management team to ensure consistent communication.

Requirements

Qualifications:

  • High school diploma or equivalent
  • Proven experience in office administration or a related field.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and office management software.
  • Ability to work independently and as part of a team.
  • Attention to detail and problem-solving skills.

Physical Requirements:

  • Ability to sit for extended periods.
  • Ability to lift and carry office supplies and equipment.
