About the role

The Event Producer is responsible for creating and executing all in-house, off-site, promotional and member programming events. This role is accountable for venue management, signage & environmental design, F&B, audio-visual, exhibits, on-site staffing, event service execution, setup and breakdown and all aspects of delivering in-person high-end event experiences.

Responsibilities:

  • An innate understanding of high-touch customer service – you are the consummate host and no detail in providing for members, guests, or our teams will go unnoticed; observes team execution of service and provides feedback and course correction.
  • Management responsibilities associated with the logistics, budget management and event production and execution of internal events and partnerships.
  • Responsible for the daily upkeep and maintenance of the event spaces and grounds and all inventories and supplies required to maintain same.
  • Have visited and developed a detailed understanding of each of the event spaces and their capabilities.
  • Post contract phase, handles pre-event conversations with clients. Gathers food, beverage, set up and 3rd party rental needs from clients. Completes BEO, Production ROS, floor plans ordering outside vendors, as needed.  
  • Hire, oversee and manage all outsourced vendors, including AV, lighting, furniture rentals, staging, floral, and 3rd party production companies. 
  • Liaise all important event details with hospitality team
  • Update BEO, floorplan and event calendar packages based on clients needs to coordinate communication with all departments.
  • Conduct client site inspections as needed.
  • Source and process rental orders for events including Audio Visual and third party vendors.
  • Finalize all payment per contract.
  • Attend and lead weekly BEO meetings.
  • Handling menu changes in the Tripleseat
  • Preparing BEOs for meetings. Distributing BEOs to each department appropriately 
  • Sending daily notification of events and updating property on events
  • Load in coordination 
  • Oversee all daily operations function activities to meet the expectations of client and Happier standards in terms of appearance, set-up, service and food quality. 
  • Anticipate guests’ needs, respond promptly and acknowledge all guests, however busy and whatever time of day.
  • Ensure workers activities to maintain positive guest relations at all times.
  • Resolve guest complaints, ensuring guest satisfaction when needed.
  • Maintain complete knowledge of/comply with and enforce all departmental policies/service procedures/standards.
  • Oversee daily banquet setups in terms of BEO requirements, space appearance, A/V equipment, maintenance, storage and equipment for both current and future events.
  • Maintain/ensure continued professional and quality communication between all food service and kitchen staff. 
  • Ensure quality work of cleaning crews in terms of space appearance, maintenance, storage and equipment. 
  • Monitor and maintain cleanliness, sanitation and organization of assigned work areas, storage and equipment.
  • Maintain complete knowledge of: scheduled daily events, function times/schedules (including staff in times, breaks, etc.)
  • Fully conversation and able to operate and articulate Special Events policy, procedure, and Event Management Software (Tripleseat)
  • Collaborates closely with all levels of the Happier Management teams on planning and execution of programs and events, including coordination of vendors, liaising with partner organizations, recruiting and cultivating staff volunteers, and brainstorming ways in which to further Happier’s mission in the context of program content
  • Maintains significant fiscal responsibilities, including internal budget monitoring, bill paying, vendor cost negotiation, and projecting and reconciling rental event revenue
  • Carefully tracks financials and contributes regularly to conversations regarding event profitability
  • Pre and post service analysis of the cost effective and efficient allocation of staffing levels per service in relation to daily reservations and or event bookings
