US Tax Administrative Assistant & Tax Audit Support Specialist

Position Overview

The US Tax Administrative Assistant & Tax Audit Support Specialist provides comprehensive administrative support to the US Tax function while also delivering dedicated coordination and documentation support for federal, state, and local tax audits.

This expanded role reflects the increased volume, complexity, and regulatory demands of tax audits resulting from TD’s continued growth in the United States and the acquisition of Cowen Inc. The position combines traditional administrative assistant responsibilities with specialized audit support activities that are critical to maintaining audit readiness, execution discipline, and well-documented audit processes.

The role operates with a high degree of independence, judgment, and accountability, partnering closely with tax professionals, internal stakeholders, and external auditors.

Key Responsibilities

Departmental Administrative Support

  • Provide high-level administrative and clerical support to the US Tax leadership team, contributing to smooth and efficient day-to-day operations.
  • Manage calendars, meetings, and scheduling for senior leaders, proactively identifying and resolving conflicts.
  • Coordinate domestic and international travel arrangements, including adjustments related to delays or changes, and reschedule meetings as needed.
  • Process expense reports accurately and on a timely basis.
  • Support onboarding and offboarding activities, including asset management, system access coordination, and supply ordering.
  • Coordinate in-office and virtual meetings, town halls, and offsite events, including logistics, agenda support, materials preparation, technology setup, and day-of troubleshooting.
  • Prepare, edit, and format reports, presentations, and other documents using standard office software tools.
  • Maintain strict confidentiality and exercise sound judgment when handling sensitive information and communications.

Tax Audit Support

  • Provide administrative and coordination support for federal, state, and local tax audits, contributing to a well-organized, efficient, and audit-ready process.
  • Manage audit schedules and key milestones, coordinating meetings with internal stakeholders, external auditors, and advisors.
  • Track, organize, and maintain audit information requests, including monitoring status, ownership, deadlines, and responses.
  • Prepare for and attend audit meetings as required, capturing detailed notes, decisions, action items, and next steps.
  • Follow up on audit action items to support timely completion and issue resolution.
  • Maintain audit documentation, correspondence, and supporting materials in a clear, consistent, and well-controlled manner.
  • Perform additional administrative and coordination tasks that support effective audit execution and risk management.

Qualifications

What You Need to Succeed

  • High school diploma with 5+ years of relevant administrative or executive support experience.
  • Strong proficiency with Microsoft Office and related applications (Outlook, Word, Excel, PowerPoint).
  • Demonstrated ability to work independently and manage multiple priorities in a fast-paced environment.
  • Strong organizational and documentation skills with attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Sound judgment and discretion when handling confidential information.
