About the role

The Internal Operations Coordinator for the David Williams II Recreation & Wellness Center plays a critical, trusted role in supporting the mission, programs, and daily operations through thoughtful data collection, financial analysis, and strategic insight. This position is responsible for collecting, interpreting, and visualizing data to guide decision-making, improve financial stewardship, and enhance the student experience.

The ideal candidate is detail-oriented, analytical, and comfortable working with financial and operational data in a dynamic university setting. This position helps provide leadership with data-driven insights to guide programming, budgeting, and facility management.


  Duties and Responsibilities  
  1. Data Collection & Analysis
    1. Collect and analyze data related to facility usage, membership trends, and program participation
    2. Develop dashboards and reports to track key performance indicators (KPIs) for student engagement and faculty/staff utilization as they relate to financial operations
    3. Assess trends in student employment, payroll management, and budget forecasting to ensure operational efficiency
    4. Conduct comparative analysis with peer institutions to benchmark performance
  2. Financial & Budgetary Analytics
    1. Assist in tracking revenue and expenses for programs, student employment, and facility maintenance
    2. Analyze funding allocations, purchasing transactions, and financial compliance to optimize resource management
    3. Support financial forecasting by identifying spending patterns and opportunities for cost efficiency
  3. Student Engagement & Program Effectiveness
    1. Assess participation trends in programs, group fitness classes, intramural sports, and wellness initiatives
    2. Conduct survey analysis and focus groups to evaluate program impact and student satisfaction
    3. Use data to help tailor programming that meets the diverse needs of the Vanderbilt community
  4. Compliance & Administrative Support
    1. Maintain compliance with university financial policies and procedures
    2. Work closely with the finance team to ensure accurate reporting of transactions and funding allocations
    3. Provide training and support to staff on data tracking, financial management, and operational best practices
  5. Transactional Oversight & Financial Integrity
    1. Manage and process membership reimbursements in accordance with university policies and established timelines
    2. Oversee OneCard transactions and expense report reconciliation, ensuring accuracy, compliance, and timely submission
    3. Serve as primary safe custodian, maintaining accurate records of deposits, withdrawals, and secured funds
    4. Monitor and reconcile petty cash usage, providing documentation and oversight to support proper spending and accountability
    5. Collaborate with staff and campus partners to uphold financial stewardship and transactional transparency
  6. Administration
    1. Provide prompt, professional, courteous service at all times
    2. Other duties as assigned 
       

This position is exempt (salary) and is expected to work Monday through Friday. Weekends, mornings, evenings, and on call status required.

 

Qualifications

  • A Bachelor’s degree is necessary. Master’s degree preferred.
  • CPR/AED & First Aid able to obtain in 90 days is required.
  • Demonstrated expertise in Excel, with proficiency in Word and PowerPoint is necessary.
  • Knowledge of finance, accounting, budgeting, and cost control procedures is preferred.
  • Ability to analyze and interpret financial data and prepare reports, statements, and projections.
  • Experience with program evaluation methods (e.g., surveys, dashboards, assessment tools) is preferred.
  • Strong organizational skills with the ability to independently manage operational SOPs and financial transactions is necessary.
  • Excellent interpersonal and communication skills; able to collaborate effectively with diverse stakeholders is necessary.
  • Commitment to supporting the mission and daily operations of the Rec through data-informed decision-making.
  • Ability to lift 30 lbs.
