The Opportunity
As a Conference, Events, and Marketing Specialist, you will support the planning, coordination, and execution of conferences, corporate meetings, and other special events. You will also support select marketing tasks within Abt’s Marketing and Communications (MarComm) department. You will need to be detail-oriented, able to balance multiple priorities, and thrive on new challenges as a vital member of a small, agile team.
Core Responsibilities
- Be the point person for logistical planning of conferences and events, including venue coordination, vendor communication, shipping and transportation.
- Streamline the registration process by managing attendee lists, sending confirmations, and responding to inquiries.
- Manage preparation and inventory of event materials such as signage and promotional items.
- Coordinate and disseminate event timelines and production schedules.
- Maintain and update event budgets, tracking invoices and payments.
- Oversee pre-event and post-event communications, including hosting prep calls and debriefs and preparing surveys and reports.
- Attend high-priority U.S. events as on-site support, assisting with setup/teardown, booth management, and logistics.
- Collaborate with internal stakeholders (marketing, talent acquisition, procurement, business portfolio) to ensure consistent branding and messaging.
- Manage social media posting for events and other marketing initiatives.
- Maintain event records and help evaluate event success through feedback and data analysis.
- Manage vendor lists, including liaising with vendors and processing invoices.
- Help host monthly hybrid internal company meetings, liaising with C-suite support.
- Support MarComm team members to fulfill other marketing tasks as needed.
What We Value
- Bachelor’s Degree
- Degree in Event Management, Hospitality, Marketing, Communications, or related field (or equivalent experience) strongly preferred.
- 1-2 years of experience in events, hospitality, customer service, marketing, or administration strongly preferred.
- Strong organizational and time-management skills with the ability to handle multiple tasks.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Willingness to travel and work occasional evenings/weekends to support 3-4 events/year.
- Able to come into Abt’s Rockville,MD office at least weekly to manage inventory and logistics.
- Knowledge of virtual event platforms (e.g., Webex, Zoom, Teams).

This position offers an anticipated annual base salary range of approximately $57,000 to $60,000, and may vary by ten percent depending on candidate geographic location. Salary offers are made based on internal equity and market analysis.
