The Opportunity
As Executive Assistant to the President, you'll serve as the operational backbone for our organization's top executive while interfacing with the executive leadership team, and key stakeholders. Core Responsibilities:
Executive Partnership & Support
• Serve as primary liaison for President's office.
• Anticipate Executive needs and proactively address challenges before they arise
• Manage complex, multi-faceted projects requiring discretion and strategic thinking
• Coordinate seamlessly with Executive Leadership Team and department heads
• Handle confidential matters with absolute professionalism and integrity
Strategic Calendar & Travel Management
• Orchestrate sophisticated scheduling across multiple time zones and stakeholders
• Prioritize and optimize executive time allocation for maximum impact
• Coordinate complex domestic and international travel arrangements
• Manage logistics for league meetings, industry conferences, and executive events
• Anticipate scheduling conflicts and proactively develop solutions
Communication & Relationship Management
• Draft, edit, and manage executive correspondence and communications
• Interface professionally with ownership, board members, and key stakeholders
• Coordinate meetings, prepare agendas, and manage follow-up actions
• Maintain relationships with league offices, partner organizations, and vendors
Project Coordination & Strategic Support
• Lead cross-functional project coordination for executive initiatives
• Research and prepare briefing materials for meetings and presentations
• Manage special projects requiring multi-department collaboration
• Coordinate board meetings, executive retreats, and strategic planning sessions
• Ensure seamless execution of organizational events and executive functions
Organizational Excellence
• Maintain organized filing systems and document management protocols
• Process and prioritize communications, ensuring timely responses
• Coordinate with HR, Finance, and Operations on executive-level matters
• Support organizational compliance and governance requirements
• Manage vendor relationships and executive-level service providers
What You'll Bring
Experience & Expertise:
• 6+ years of executive assistant experience supporting C-suite executives
• Proven track record in fast-paced, high-stakes business environments
• Sports, entertainment, or hospitality industry experience strongly preferred
• Demonstrated ability to anticipate needs and think strategically
• Master-level organizational and project management capabilities
• Advanced written and verbal communication skills
• Expert-level proficiency in Microsoft Office Suite, calendar management, and business systems
• Sophisticated problem-solving and critical thinking abilities
