We are looking for a highly organized and proactive HR Administrative Specialist to join our HR team in Spain.

This role will provide comprehensive HR administrative support across the employee lifecycle, with a strong focus on the management, maintenance and optimization of HRIS platforms and data accuracy and PRL administration

The ideal candidate is detail-oriented, structured, and comfortable managing HR systems, employee data, reporting and coordination with internal stakeholders in a fast-paced logistics environment. 

What responsibilities and objectives will you have?

HR Administration (Generalist Support) 

  • Manage employee documentation throughout the full lifecycle (contracts, amendments, letters, certificates, etc.). 

  • Support onboarding and offboarding processes across HR platforms. 

  • Maintain and update employee records, ensuring accuracy and compliance. 

  • Support absence and leave administration (vacations, medical leaves, permits, etc.). 

  • Prepare HR documentation required for internal and external stakeholders. 

  • Provide administrative support in employee relations processes when needed. 

  • Ensure proper filing and safeguarding of HR documentation in accordance with legal requirements. 

 

HR Platforms Management 

  • Be responsible for the management, maintenance, and continuous update of HR platforms such as HiBob, SuccessFactors, and other internal tools. 

  • Ensure data accuracy and consistency across systems. 

  • Manage employee lifecycle movements within the platforms (hires, changes, terminations). 

  • Coordinate with IT or global HR teams when system updates or improvements are required. 

 

Risk Prevention (PRL) – Administrative Support 

  • Coordinate PRL documentation with external prevention services and internal stakeholders. 

  • Maintain and update records related to risk assessments, training, medical examinations, and safety documentation. 

  • Monitor and track mandatory health & safety training and ensure completion. 

  • Support accident and incident documentation management, ensuring proper registration and follow-up. 

  • Assist in organizing safety inspections and audits from an administrative perspective. 

  • Ensure all PRL documentation is properly archived and compliant with local regulations. 

  • Provide support in preparing reports related to health & safety matters. 

Well, what will the requirements be?

  • 3 years of experience in an HR administrative or generalist role. 

  • Experience managing HR documentation and employee lifecycle processes. 

  • Experience working with HRIS platforms (HiBob, SuccessFactors or similar). 

  • Previous exposure to PRL administration or coordination with prevention services is highly valued. 

  • General knowledge of Spanish labor legislation. 

  • Strong organizational skills and attention to detail. 

  • Ability to manage multiple tasks and meet deadlines. 

  • Strong Excel and MS Office skills. 

  • Fluent in Spanish and good level of English.
