To provide administrative support to the CUA team, including the Program Directors, Case Managers, Case Manager Supervisors and Community Liaison. This person reports directly to CUA Director.
ESSENTIAL DUTIES:
- Maintain and update CUA data base of client and staff information.
- Ensure that intake packets are maintained and completed thoroughly.
- Ensure that the DHS standards are tracked for each client’s file.
- Provide clerical support to CUA Case Managers, Supervisor, Director and Administrative Staff.
- Immediately report to supervisor any concerns about the safety of children or youth in the household or placement facility.
- Complete all paperwork and other documentation timely and in accordance with the DHS CUA Practice Guidelines.
- Maintain compliance with all applicable laws, regulations, and bulletins issued by the Department of Public Welfare (DPW) Office of Children Youth and Families. Abide by the Social Work Code of Ethics.
- Able to work a flexible schedule to meet the needs of children, youth, and families and to cover emergencies.
- Assist in updating forms.
- Serve as back-up receptionist, accepting phone calls from outside agencies, along with directing caller to appropriate individual.
- Type correspondence and memos as needed.
- File, fax, photocopy and print documents.
- Ensure that the various tasks due upon receipt of new referrals are completed in a timely manner.
- Responsible for managing and updating the resource manual.
- Prepare for and actively participate, as required, in all meetings and conferences. Write and distribute meeting minutes.
- Work cooperatively and collaboratively with other members of the CUA Support Team and DHS and Juvenile Probation staff as indicated. Communicate regularly and respond promptly to messages.
- Actively participate in all required training.
- Prepare for and actively participate in regular supervisory meetings.
- Perform other duties as assigned by CUA Director or designee.
Qualifications
- High School Diploma or Associate's Degree.
- Three years administrative experience.
- Strong professional communication skills with ability to communicate clearly, both orally and in writing, in English.
- Strong organizational skills. Detail oriented.
- Valid, timely Child Abuse, Criminal History, and FBI clearances that meet all regulatory requirements.
- Ability to establish and maintain positive, professional relationships with clients, co-workers and visitors.
- Proficient with Microsoft Word, Outlook, and Excel. Ability to learn and effectively operate other software packages as needed and required.
- Ability to accurately type at the rate of at least 55 words per minute.
- Bi-lingual, preferred
