JOB SUMMARY:
Perform a variety of reception, secretarial and clerical functions that include, but are not limited to, answering telephones and greeting visitors, scheduling appointments, preparing reports and documents, maintain client records and files, and coordinating resources between the Investment Center and Trust Department.

RESPONSIBILITIES:
ESSENTIAL FUNCTIONS:
• Provide administrative support for the Investment Center Manager and Financial Advisor.
• Answer, respond and direct telephone calls promptly and professionally. Take messages as needed.
• Greet and schedule clients, typing, track, mail, and/or submit on-line all paperwork to Raymond James or directly to the corresponding annuity or Mutual Fund Company, order inventory of materials needed and any other administrative functions for the day to day operations of the investment center.
• Assists Raymond James audit personnel during their audit process and replies to the Branch Audit Response, with approval by the Branch Manager.
• Assist in arrangements for seminars, Open Houses or other events as requested.
• Process deposits via the Raymond James Check Deposit System. Prepares paperwork for deposits for direct accounts and overnights documents to the corresponding mutual fund company.
• Enter ACH and Check Requests via the Raymond James Money Movement System.
• Follow up on pending items and type corresponding notes in Client’s Relationship Management Center account.
• Scan all documentation to appropriate client accounts.
• Compile information and complete spreadsheets for quarterly reports which are forwarded to Branch Manager.
• Record the minutes at the quarterly Investment Center Board Meetings.
• Complete Statement Linking and Mutual Fund Linking through Raymond James Relationship Management Center.
• Research and prepare current market value portfolios for clients as requested.
• Print and mail birthday greetings each month to clients.
• Process mass mailings as requested by Investment Center Manager
• Prepare letters for Required Minimum Distribution requirements and followup by correspondence or phone call until completed.
• Prepare monthly Trust Reconcilement.
• Other duties as assigned.

REQUIREMENTS:
Minimum Qualifications:
• High School diploma or equivalent.
• Three years of staff assistant experience.
• Possess effective customer contact and interpersonal skills.
• Possess effective oral and written communication skills (including telephone).
• Must possess administrative and organizational
• Must have the ability to work in high-pressure environment.
• Must be assertive and possess excellent decision-making abilities.
• General areas of competency: decision making, dependability, development, environmental safety, evaluation skills, prioritizing, problem solving, selling skills, team skills and time management.
• Ability to organize, maintain and file reports and records.
• Must be capable of working with and maintaining the confidentiality of sensitive information.
• Demonstrated aptitude to handle sensitive operational transactions and customer relationships.
• Professional appearance

Physical Requirements:
Light Work - exerting up to 20 pounds of force occasionally, and/up to 10 pounds of force frequently,
and/or a negligible amount of force constantly to move objects. Reaching, fingering, grasping, repetitive motions, stooping, crouching, standing, walking, lifting, climbing, kneeling, talking, hearing, pulling, pushing, thinking, concentrating and interacting with others.
