JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Pennsylvania State University is seeking a candidate for an Administrative Support Assistant to the University Park Allocation Committee, serving student organization financial support, serving as the first point of contact, in person and via phone and email, maintaining confidential information, inputting financial request information, and coordinate travel arrangements. 

The successful candidate will be responsible for the following:  

  • Greet customers, provide information, and refer as appropriate. 

  • Screen and process routine telephone communications, mail, and requests. 

  • Schedule and maintain a calendar of appointments, meetings, travel itineraries, etc. 

  • Coordinate travel arrangements, make reservations, and process reimbursements. 

  • Maintain files and databases; assemble and format data to create simple reports. 

  • Prepare documents, meeting materials, and correspondence. 

  • Update and make routine changes to web pages. 

  • Maintain confidential and sensitive information and materials. 

  • Record and distribute meeting minutes. 

  • Compose and edit written communication. 

  • Maintain inventory and order/purchase office supplies; arrange for equipment -maintenance; process work orders for facilities repairs/needs. 

This position typically requires a High School diploma or higher plus 1 year of related experience or an equivalent combination of education and experience.
