Job Summary
This position is responsible for providing high-level administrative support to the executive and management teams. This role involves managing schedules, coordinating meetings, handling correspondence, and performing various clerical duties. The position is critical in ensuring efficient office operations and may also lead junior administrative staff.This role is responsible for managing and maintaining executive schedules, including appointments, meetings, and travel arrangements. The individual prepares, reviews, and edits reports, presentations, and other documents while handling incoming and outgoing correspondence such as emails, letters, and phone calls. Responsibilities include organizing and maintaining both electronic and physical office files, as well as scheduling, coordinating, and facilitating meetings by preparing agendas, taking minutes, and following up on action items.
The position also oversees logistics for internal and external meetings, including room reservations and catering arrangements, and serves as the primary point of contact between executives and internal and external stakeholders. Additional duties include drafting and distributing memos, announcements, and other communications as directed; managing office supply inventory, ordering, and distribution; and ensuring office equipment is properly maintained and serviced. The role coordinates with IT to address technical support and equipment needs, assists with the planning and execution of special projects and events, and monitors project timelines to ensure deadlines are met.
Qualifications
Work Experience
- 5-7 years of experience in an administrative role, preferably within a healthcare setting.
- 1-2 years of experience supporting senior-level staff.
Knowledge, Skills, and Abilities
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Ability to work independently with minimal supervision.
- Strong attention to detail and problem-solving skills.
- Familiarity with hospital administration processes and healthcare regulations.
- Professional demeanor with the ability to interact effectively with staff at all organizational levels.
