What you will do:

The National Parts Program Coordinator will support National Account customers by managing parts order entry, tracking, and coordination. This role serves as a key point of contact for order processing, communication, and resolution of issues related to parts procurement and fulfillment. This person will coordinate day-to-day parts-related activities, ensuring accuracy and timeliness of orders, supporting customer requests, and collaborating with internal teams and vendors to ensure a smooth and efficient parts supply process. They will assist in achieving customer satisfaction and internal performance targets by following established processes and escalating issues as needed.

How you will do it:

  • Process and coordinate parts orders from National Account customers promptly and accurately.
  • Act as a liaison between customers, internal teams, and suppliers to manage order status, lead times, and delivery updates.
  • Support the onboarding of new customers and ensure all account-specific order entry procedures are followed.
  • Communicate proactively with customers regarding order issues, delays, substitutions, or pricing questions.
  • Maintain accurate records of open orders, backorders, and shipment tracking using internal systems.
  • Coordinate with warehouse, purchasing, and logistics teams to ensure timely delivery and resolve any disruptions.
  • Participate in team meetings and provide updates on open issues, customer needs, and workload status.
  • Support reporting, order trend analysis, and ad hoc projects related to parts ordering and customer performance.
  • Assist in resolving discrepancies in pricing, order fulfillment, billing, or returns.
  • Support process improvements to increase speed, accuracy, and customer satisfaction.

Principal Duties

  • Answer phone and email inquiries from internal and external customers professionally and promptly
  • Enter and manage parts orders with a high level of accuracy
  • Coordinate with vendors and internal departments to ensure timely order fulfillment
  • Research and resolve order discrepancies, backorders, or pricing issues
  • Support administrative duties such as billing support, credit memos, and documentation
  • Contribute to team goals, customer satisfaction metrics, and continuous improvement initiatives

What we look for:

Required

  • 2+ years of experience in customer service, order management, procurement, or coordination role, ideally in a technical or HVAC-related environment
  • Strong communication skills, with the ability to interact professionally with internal and external stakeholders
  • Excellent attention to detail and organizational skills
  • Proficiency in Microsoft Office (Outlook, Excel, Word); experience with ERP systems or order entry platforms preferred
  • Ability to multitask and prioritize workload in a fast-paced, high-volume environment
  • High school diploma or equivalent; Associate’s degree or vocational training preferred

Preferred

  • Experience with HVAC or mechanical parts ordering and logistics
  • Familiarity with National Account customer support and coordination
  • Understanding of procurement or supply chain processes
