The Assistant Director of Program Operations for Graduate & Executive Degree Programs in the McDonough School of Business at Georgetown University is responsible for the planning, implementation, and administrative support of the Graduate & Executive Degree portfolio of programs. This position ensures the effective coordination of program activities, supports faculty, students, and stakeholders, and helps maintain the program's compliance with university policies and accreditation requirements. The Assistant Director plays a key role in enhancing the visibility and effectiveness of the program while contributing to student success.
Additionally, this position works year-round on a variety of operational tasks that are critical to the successful delivery of programmatic and academic activities in the Graduate & Executive Degree portfolio. Such tasks include, but are not limited to, ensuring case rooms are reserved for classes, recordings are scheduled with the tech team, and catering is reserved when applicable. This role also participates in the vendor contracting and payment processes, working to make sure services are properly contracted when they are necessary and, subsequently, that vendors are paid on time and accurately.
This position also works on “Teaching Calendars,” which showcase who is teaching what and when for all of our programs. The ADPO, annually, develops a teaching calendar per program, and then continuously monitors them for any changes, updating all instances and location in which such calendars are housed and shared with faculty, students, and other administrators. Furthermore, all Program Teaching Calendars (PTCs) are stored in a shared, central database—the OSS--that itself needs regular monitoring. The OSS houses PTCs as well as all student rosters, so in close collaboration with the Student Services team of GEDP, the ADPO annually participates in the construction of student rosters as well as the maintenance of those rosters to ensure continuity of programming for every GEDP student.
Additional duties include, but are not limited to:
Coordinate day-to-day operations of the GEDP portfolio, ensuring efficiency and alignment with university policies
Maintain program records, reports, and databases for tracking student rosters, progress, and outcomes
Assist in developing and implementing policies, procedures, and best practices for program management
Provide logistical and administrative support for program events, workshops, and meetings in collaboration with the Student Services team of GEDP
Develop & maintain repositories of program information for students, faculty, and other administrators
Assist with student course registration systems and processes per program
Support faculty with scheduling, resource allocation, and copyrighted course materials
Manage communication channels, including email lists, Canvas program sites, and department web pages
Assist the Student Services team with the planning and delivery of program events, such as guest lectures, networking, social, and culture-building opportunities, and graduation ceremonies
Liaise with internal and external partners to facilitate collaborations
Assist in preparing and monitoring budgets, expenses, and financial reports for the program
Ensure compliance with university financial policies and procedures
Work Interactions
The Assistant Director reports directly to the Associate Dean of Graduate & Executive Degree Programs and works closely with the Student Services team.
