Summary

HII, Mission Technologies has a need for an Executive Assistant to support a federal agency’s Chief Information Officer (CIO). The focus of this position will be to manage the routine tasks of the organization’s CIO facilitating prioritization of daily requirements and time management. The Executive Assistant will perform normal office functions such as meeting preparation, calendar scheduling, minor research, and facilitate records management. Will review drafts and finished documents for appropriate grammatical usage and ensure alignment to DoD guidelines, and will answer questions relating to office operations and established policies and procedures. Will also gather, compile, and report on information relevant to supervisor’s assignment. 

 

Our ideal candidate for this role will have a steady employment history, a secret security clearance, and experience supporting C-Suite executives within a government and/or military environment.

 

The position requires onsite attendance in Arlington, VA.

Essential Job Responsibilities

  • Anticipate the needs of a C-Suite Executive for routine tasks (Calendars, meeting preparatory material, etc.), be capable of anticipating the CIO’s expectations and be proactive to provide supporting information.
  • Manage and prioritize tasks for C-Suite Executive.
  • Work closely with relevant stakeholders (e.g., Division Chiefs, Branch Chiefs, Senior Communications SME) to ensure the correct briefing or messaging is immediately accessible by the C-Suite Executive for the relevant engagements.
  • Build relationships with senior leaders to establish procedures and protocols on efficiently coordinating information and meetings.
  • Understand the relationships between daily tasks, the CIO organization and the CIO mission.  
  • Understand and integrate tasks within the organizational structure and provide recommendations for coordination of efforts and stakeholder engagement.
  • Manage the C-Suite Executive Calendar in coordination with those expected at any given meeting, town-hall event, etc. 
  • Engage and coordinate with C-Suite Front Office Executive Assistants to firm up documentation, briefings, coordinated meetings, etc..  
  • Research records database and conduct data calls to retrieve information to support analysis and schedules. 
  • Execute reports pulling from established processes (e.g., new hires).
  • Coordinate New Hire Briefings.

Minimum Qualifications

  • High School Diploma or equivalent and 6 years additional related experience.
  • Proficient in the use of Personal Computers (PCs) and MS Office Suite of applications, especially in Microsoft Outlook including daily/weekly views of 1 or more calendars.
  • Ability to work with minimal supervision and/or established procedures; able to assist with orientation, training, assigning and verifying the work providing non-substantive input (e.g., grammar corrections).
