Job Description
This OPS position provides broad administrative, organizational, and clerical support to the Office of General Counsel. This position is responsible for processing travel reimbursement, preparing documents for meetings, data entry, scanning, filing, copying, proofreading and editing documents/reports, public records requests, and scheduling meetings. The position works under general supervision, independently developing work methods and sequences.
The primary duties of this position include, but are not limited to, the following:
- Composes, drafts, and/or types correspondence, memoranda, reports, e-mails, and other documents, observing strict confidentiality.
- Schedules appointments/meetings and maintains calendars.
- Proofreads documents for grammar, spelling, accuracy, and format.
- Performs clerical tasks such as processing incoming mail, preparing paperwork for meetings, preparing routine reports, performing data entry, shredding, scanning, filing, faxing, or photocopying.
- Prepares notebooks of meeting materials as directed.
Education and Training Guidelines
Additional relevant experience may substitute for the recommended educational level on a year-for-year basis.
Bachelor’s degree.
Additional relevant education may substitute for the recommended experience on a year-for-year basis, excluding supervisory experience.
One year of work experience in business administration, office skills, or related field.
Competencies
Knowledge, Skills, and Abilities:
- Knowledge of and ability to use correct grammar, spelling, and punctuation.
- Knowledge of and ability to perform basic mathematical operations.
- Ability to proofread and edit correspondence and reports.
- Ability to use a personal computer and word processing applications such as Word and Excel.
- Ability to organize work, establish priorities, and meet deadlines.
- Ability to organize and/or automate office procedures and maintain an effective filing system.
- Ability to communicate clearly and effectively.
- Ability to use independent judgment and discretion concerning confidential information.
- Ability to plan, organize, and complete special assignments with general supervision.
