Under the supervision and direction of the Senior Events Manager, the Events Associate will provide support with logistics and staffing for all McCourt School internal and external events including New Student Orientation, the Dean's Commencement Reception, other graduation-related activities, Faculty conferences and events, the Whittington Lecture, the Annual Holiday Party, and other McCourt School functions, alumni events, special events along with internal events and community building programs at McCourt.
The Events Associate will regularly collaborate with University constituents to provide information, support and assistance with event planning. The core responsibilities of this role will include, but are not limited to:
Provide support and staffing for logistics of all aspects of events, conferences and meetings (pre-planning, contract negotiation, onsite execution and post event wrap up).
Assist with the scheduling and booking of event space.
Provide coordination to ensure event success, and to execute logistic details such as meeting room setup, attendees experience and onsite client management.
Maintain event calendars, coordinate registration, attendee tracking and other logistics, and assist with post-event details including processing of final invoices.
Specific focus on student engagement activities and take on events/programming that help enhance the overall McCourt student experience.
The position will also support the Executive Director of Communications and Marketing with communications activities including: promotion of McCourt School events on McCourt School channels including weekly newsletters, flyers, and TV monitors around the McCourt School building. The person in this role will also be expected to liaise with McCourt School students to solicit feedback on event content and speakers, event format, trends in successfully communicating and marketing events to students.
Work Interactions
The Events Associate works under the direct supervision of the Senior Events Manager and is required to use independent judgment to help maintain a professional work environment. This individual manages graduate assistants charged with supporting events at the McCourt School.
Requirements and Qualifications
Bachelor’s degree and 3-5 years of experience in event management and communications or combination of education and relevant experience
Proficiency in technologies related to the duties of the position, including Georgetown’s events management system
High level of organization and attention to detail
Exceptional customer service skills with the ability to cultivate partnerships
Ability to interact and successfully collaborate with a broad spectrum of contributing groups and customers
Experience in higher education is a plus
