The Opportunity

The Registrar’s Office Assistant serves as the first point of contact for the Law School Registrar’s Office, handling inquiries from students, faculty, staff, and the public. This role involves assisting with various complex administrative and technical tasks related to student records, course and enrollment management, and exam functions.

Key Responsibilities

Customer Service & Administrative Support

  • Act as the first point of contact in the Registrar’s Office, handling inquiries via email, in-person, and phone.
  • Manage the Law Registrar email account, responding or referring messages as needed.
  • Assist with room reservations, scheduling makeup classes, and academic review sessions, as well as maintaining and tracking course enrollment.
  • Process incoming and outgoing mail, including both regular and electronic communications.
  • Support events like New Student Orientation, Convocation, and Commencement.
  • Ensure compliance with data privacy and security regulations related to student records (e.g., FERPA).
  • Provide information on policies and procedures regarding leaves of absence, withdrawals, and Title IV Financial Aid.
  • Schedule office meetings and take minutes.
  • Maintain and update the office website.
  • Assist in maintaining and securing Law School student records, ensuring accurate data entry.
  • Order office supplies.

Exam Support

  • Assist with exam preparation, administration, and processing.
  • Order exam supplies.
  • Help with exam proctoring and scheduling.
  • Provide support to students with exam-related issues.

Other Responsibilities

  • Serve as backup for the Academic Services Assistant and Enrollment Services Assistant.
  • Participate in special projects as needed.
  • Complete any required university compliance trainings.

What We Need

A resume and cover letter are required for further consideration.

  • High school diploma and 2 to 4 years of relevant experience or equivalent combination.
  • Proficiency in Microsoft Office Suite and strong database management skills.
  • Ability to work with highly confidential material under pressure in a fast-paced, team-oriented environment.
  • Capable of handling multiple tasks with varying deadlines and prioritizing simultaneous projects.
  • Exceptional attention to detail.
  • Excellent written and oral communication skills.
  • Strong organizational, planning, time management, and interpersonal skills.
  • Strong service orientation and problem-solving abilities.
  • Demonstrated commitment to diversity, equity, access, inclusion, and wellbeing.
  • Experience working with individuals from diverse racial, ethnic, and socioeconomic backgrounds.
  • Ability to manage high volumes of work during peak periods.

  • Familiarity with university policies and procedures, particularly the role of the Registrar’s Office at both the university and Law School levels.
  • Experience with PeopleSoft.
  • Experience with 25Live.
  • Experience with WordPress.
  • Experience with Exam4.
  • Experience with Canvas.

This is a one-year fixed-term, full-time (39 hours/week) endowed position that is based in Ithaca, NY and fully on-site. Work hours are Monday through Thursday, 8:00 AM to 4:30 PM, and Fridays from 8:00 AM to 4:00 PM.
