Title: Administrative Assistant, Attendance NPHS
Reports To: Assistant Principal
Takes Direction From: Assistant Principal
Schedule/Calendar: 7.5 hours/day 37.5 hours/week 187 days/year
Summary: Responsible for maintaining accurate attendance records of all students assigned to Home Office.
Essential Functions:
- Assists assistant principal, counselors, and home office secretary in variety of secretarial and clerical duties
- Prints attendance and updates printed copies with tardy students, suspensions, field trips, corrections, etc.
- Communicates with parents and staff via telephone, email, and written correspondence
- Makes daily attendance corrections as needed and records corrections from previous days
- Activates auto-call system daily
- Prepares absence letters to parents
- Coordinates admission of students late to school and early dismissals
- Follows attendance procedures established by district/building
- Updates emergency info in Student Plus
- Completes and submits maintenance forms for address changes
- Assists with school-wide mailings
- Assists with end-of-year checkout
- Assists with graduation preparations (diplomas, caps & gowns)
- Monitors students sent to office until administrator or counselor is available
- Cooperates with police, probation officers, detectives, and school security
- Investigates truancies
- Files all written communications for absences, late arrivals, and early dismissals
- Sends excessive late and excessive absence letters
- Additional duties as assigned by assistant principal
Education and/or Certification Required:
- High school diploma or business background
- Associate's degree preferred
Experience Needed:
- Computer experience
- General office experience
- Telephone and interpersonal communication skills experience
Requisite Skills:
- Computer, organizational, interpersonal, clerical and filing, general office
- Ability to respond to multiple tasks at one time
