Wright-Pierce has an exciting opportunity for a part-time Administrative Assistant based in our Middletown, CT, office and with travel to our Westfield, MA, office twice a month. As an Administrative Assistant at Wright-Pierce, you will be part of a collaborative administrative team supporting a growing company. You will be responsible for the day-to-day office needs and may provide clerical support for other technical administrative assistants. Responsibilities
- Point person for performing all office administrative tasks including but not limited to: ordering and stocking supplies; accepting and distributing mail; answering phones; scheduling and attending meetings; assisting with travel reservations; ordering lunches for in-house seminars; and photocopying, scanning, and electronic filing.
- Support lead office administrative assistant and other staff to produce project deliverables including but not limited to letters, memos, reports, and presentations.
- Ensure quality control of Wright-Pierce brand standards throughout all deliverables.
- Work closely with in-office supervisor and administrative team to support company-wide initiatives.
- Plan and execute employee office functions and gatherings.
- Manage supplies and repair services for office printers.
- Coordinate building maintenance and custodial services.
- Support Human Resources, Accounting, and IT departments with various tasks and duties, including onboarding of new employees and processing purchase requisitions and other related tasks.
- Connect with other assistants company-wide to provide cross-location support.
- Provide support with tracking and managing professional affiliation memberships & renewals.
Essential Functions
- Travel to and work from our Westfield, MA, office at least twice a month (days negotiable and pre-planned, mileage reimbursed)
- Exhibit outstanding organizational and time management skills.
- Be able to independently identify and complete tasks that may be overlooked by others but are critical to maintaining an excellent office environment.
- Demonstrate awareness of individual and team dynamics to effectively support office and company culture.
- Foster a welcoming and friendly environment to encourage employee engagement.
- Employ excellent written communication skills and assist with relaying technical information clearly.
- Believe in the core values of Wright-Pierce and personal qualities of integrity and commitment.
Experience
- 2 or more years of office administration
- Proficiency with Microsoft Office suite, specifically Word, Excel, PowerPoint, Outlook, and SharePoint. Specific expertise in MS Word layout and formatting is a must.
- Experience with PDF programs is a plus.
Education
- Associates degree (in related field) preferred
Office Location
- Middletown, CT with periodic travel to Westfield, MA
