The Shuttle Dispatcher / Administrative Assistant to support shuttle operations across our dynamic industrial high-tech campus. This role ensures the smooth, efficient movement of employees and visitors while also handling key administrative tasks to support our transportation and facilities team.
Key Responsibilities:
Shuttle Dispatcher Duties:
- Coordinate daily shuttle schedules across the campus based on demand and staffing
- Monitor shuttle locations using GPS or fleet tracking tools to ensure on-time service
- Serve as the primary point of contact for shuttle drivers and transportation vendors
- Respond quickly to schedule changes, maintenance issues, or route delays
- Track rider counts, route efficiency, and service trends for continuous improvement
- Maintain logs of driver shifts, incidents, and mileage reports
Administrative Assistant Duties:
- Provide administrative support to the Facilities/Transportation team
- Manage emails, calls, and visitor inquiries related to shuttle and site access
- Assist with data entry, spreadsheet updates, and document control
- Help schedule meetings, prepare reports, and maintain organized records
- Coordinate with security and operations teams to align shuttle services with site access needs
- Support onboarding of new drivers or third-party contractors, ensuring compliance documentation is complete
Qualifications:
- High school diploma or GED required, associate or bachelor’s degree a plus
- 1+ year experience in dispatch, transportation coordination, or administrative support preferred
- Strong communication skills and ability to stay calm under pressure
- Familiarity with fleet management or dispatch software (e.g., GPS tracking platforms)
- Proficient in Microsoft Office (Excel, Outlook, Word); experience with Google Workspace or work order systems a plus
- Excellent attention to detail, time management, and organizational skills
- Ability to work independently and as part of a cross-functional team

- Experience in a campus or industrial park setting
- Customer service mindset with a professional, helpful attitude
- Flexibility to adapt to shifting schedules, priorities, or campus needs
- Class B license
