What you’ll do:
The Brass Tacks
• Type letters, emails, memos, agendas, invitations, and other correspondence from dictation, notes, by phone or general direction
• Schedule individual and group appointments, interviews, meetings, and conference calls (on- and off-property)
• Monitor email and proactively respond to meeting requests, add items to the calendar, delete junk mail, accept calendar invites, move pertinent emails to electronic folders, etc. Generally, work to keep email inbox organized and assist with maintaining quick responses.
• Maintain property, project and meeting files; both electronic and physical files
• Create positive first impressions for both team members and visitors
• Coordinate travel arrangements, reservations, and details, i.e., car, hotel, flights
• Prepare expense reports and credit card reconciliations for leader(s)
• Assist with special projects
• Answer multi-line telephone, transfer calls, take messages, and respond to voicemails
• Manage overall office maintenance / office supply orders and inventory
The Nitty Gritty
• Excellent people skills
• Have a professional, friendly, and enthusiastic demeanor
• Be detail-oriented, and have exceptional organizational skills
• Be reliable and punctual
• Have the ability to multi-task and work in a fast-paced environment with shifting priorities
• Intermediate proficiency in Microsoft Word, Excel, PowerPoint, and Adobe is a must
