POSITION PURPOSE:
Under general supervision, the Operations Assistant performs a wide variety of routine to moderately difficult clerical support functions, including data entry and records management duties; types a variety of correspondence, documents, reports, and other materials requiring skilled word processing; schedule various of meetings and performs related duties as assigned. The Operations Assistant performs relief reception duties in the absence of the primary Receptionist as well as during the primary Receptionist’s breaks and lunches.

DISTINGUISHING CHARACTERISTICS:
Incumbents in this class perform skilled word processing, data entry duties, and carry out responsible and specialized office, clerical and records management functions requiring a good knowledge of NHA and section policies and procedures. Incumbents may provide office administrative and basic secretarial support services to Supervisor as well as opportunities for field work. Work assigned to an Operations Assistant requires knowledge of the functions applicable to an area of assignment and the ability to solve problems of average complexity.


EXAMPLES OF ESSENTIAL DUTIES:

• Answers, screens and refers telephone calls, and takes messages;
• Greets visitors to the central office, confirming appointments and referring visitors to the proper office and/or staff member;
• Provides daily relief to primary Receptionist for breaks and lunch as well as full time coverage of front desk and switchboard in the absence of primary Receptionist;
• Responds to questions and provides information to inquiries and complaints from officials, the public and others, in person and over the telephone;
• Types, formats, edits, revises, proofreads and prints notices, reports, correspondence, memoranda, transmittal sheets and other documents;
• Types from rough notes, drafts and brief oral instructions;
• Provides administrative support to Security Manager and Safety Manager
• Operates a computer terminal and performs word processing and/or data entry in accordance with standard procedures and computer software requirements;
• Creates and maintains databases of records, lists and projects;
• Fulfills supply/equipment orders via service requests;
• Arranges supply deliveries to all Head Start/Early Head Start centers ;
• Travels to various locations to conducts special and/or periodic inspections of NHA Head Start facilities and operations to identify security, safety and environmental hazards;
• Recommend new procedures to enhance the efficiency of daily operations.
