About the role

Summary

The Senior Provider Onboarding Specialist oversees the onboarding process for permanent, per diem, and temporary providers within Guthrie Medical Group. This position involves a higher level of responsibility, including leadership in onboarding processes, collaboration with various departments, and ensuring compliance with regulatory standards. The Sr. Provider Onboarding Specialist is responsible for submitting employment documentation so that new permanent, per diem, and temporary (locum) providers may begin employment on time. The specialist is also responsible for creating new and updated APP collaborative and supervising agreements, meeting and vacation metric tracking, and CME tracking for GMG providers. Partners with the medical group and support departments to strategize, lead, and execute new provider preboarding, onboarding, and orientation (per diem and locums) to support readiness for growth and retention goals.

Experience

A minimum of four years of experience in provider onboarding or a related administrative role in the healthcare sector is required. Demonstrated ability to work independently and efficiently is needed. A thorough understanding of software applications is required—knowledge of applicable employment, compensation/benefits, and employee relations laws and regulations is preferred. Demonstrated leadership skills and the ability to mentor and guide junior team members. Thorough understanding of provider credentialing, licensing, and regulatory compliance

Education

A high school diploma is required. A Bachelor's Degree in related field is preferred.

Essential Functions

Leadership and Mentorship: Provide guidance and mentorship to Provider Onboarding Coordinators. Act as a resource for complex issues in the onboarding process.

Process Enhancement: Continually evaluate and enhance the onboarding process, identifying areas for improvement and implementing solutions.

Collaboration: Work closely with credentialing, enrollment, and onboarding/retention colleagues to streamline preboarding and onboarding processes.

Regulatory Compliance: Ensure adherence to all applicable employment, compensation/benefits, and employee relations laws and regulations.

Communication: Act as a primary point of contact for escalated inquiries and requests. Maintain regular communication with newly hired providers and various departments.

Orientation Support: Lead and coordinate orientation sessions for per diem and locum providers, collaborating with subject matter experts and GMG managers.

CPSL Clearance Management: Oversee the management of PA Child Protective Services Law clearances for all GMG providers and locums.

Audit and Reporting: Conduct regular audits to ensure compliance with regulatory standards. Provide detailed reports to leadership.

Collaborates with credentialing, enrollment, and onboarding/retention colleagues for the preboarding and onboarding process for Guthrie Medical Group and locum providers to ensure the providers are ready to begin employment on their contracted start date. This includes, but is not limited to, application link creation, application assistance, and review. Additionally, this role monitors progress for initial medical and DEA licensure, credentialing, and obtaining hospital privileges- alerting leadership of any barriers encountered. 

Responsible for the accuracy and completeness of the new provider's credential file before the start date.  

Initiates pre-arrival communication via personal outreach immediately upon the returned signed contract; maintain a pattern of regular contact with the newly hired provider until their start date. Works with the hiring departments to ensure all regulatory requirements are met and ready for the new provider. Includes representatives of other departments such as IT and Employee Health as needed.

Coordinates orientation sessions for newly hired per diem and locum providers with appropriate Guthrie subject matter experts and GMG managers.

Responsible for notifying appropriate departments of the provider start date, changes in practice, and distributing credentials.

Responsible for individual Advance Practice Provider collaborative and supervisory agreement creation and updates. 

Manages PA Child Protective Services Law (CPSL) clearances for all GMG providers and locums. Tracks and addresses regulatory requirements that new clearances be redone every five years. Assists in developing audit tools/checklists, performs consistent regulatory int
