The Corporate Cafeteria Administrative Assistant plays a critical role in supporting the daily operations of the cafeteria, ensuring smooth processes, accurate data management, and effective communication with staff and management. This position requires strong organizational skills, attention to detail, and the ability to coordinate effectively across various teams and systems.Job Description:
1. Invoice and Payment Processing:
- Process daily kitchen invoices and credit card transactions, ensuring accurate and timely entries in the company's Concur system.
- Reconcile discrepancies and maintain organized financial records.
2. Visitor Meal Requests:
- Handle take-out meal requests from visitors, promptly notifying chefs and ensuring all requests are fulfilled efficiently.
3. Menu Management:
- Update the weekly menu on the company websites to reflect any changes or additions.
- Coordinate the uploading and scheduling of daily menus on the Mvix System on a weekly basis, maintaining accuracy and timeliness.
4. Employee ID Registration and Integration:
- Facilitate the registration of new and replacement employee IDs in the Odin lunch scanning system to ensure seamless access to cafeteria services.
5. Data Collection and Reporting:
- Collect and compile daily scanning data for breakfast, lunch, and late dinners.
- Prepare comprehensive reports for management to track cafeteria utilization and trends.
6. KISS Meal Program Communication:
- Proactively communicate updates regarding the KISS Meal Program/Reservations through various channels.
- Manage and promptly communicate any changes or requests to management.
7. Catering and Event Support:
- Provide administrative support for Headquarters onsite and off-premises catering/events, including coordination and follow-up with staff and vendors.
8. Onsite KISS Meal Program Oversight:
- Oversee and support daily break/lunch/dinner activities to ensure smooth operations, resolving any issues promptly.
9. Purchasing and Inventory Management:
- Purchase kitchen-related items, ensuring timely procurement of supplies and equipment.
- Update and maintain accurate kitchen inventory records to prevent shortages or overstocking.
- Collaborate with vendors to ensure cost efficiency and high-quality supplies.
