General Description
This position will provide administrative support for Clinical Contracting Services, a division of Network Services, by maintaining the Network Services Contracts Database in up-to-date status, creating and providing reports as needed, making complex entries and updates to data as needed based on going review and analysis of information contained therein. The Contracting Data Administrator is also responsible for completing other information management tasks within the department, such as maintaining contract and correspondence templates, presentations, department policies and procedures, internal SharePoint site information, forms customer contract request forms, and contract volume reports, as well as creating non-routine correspondence for communication with customers and external parties as needed.
Duties and Responsibilities:
- Maintain Network Services contract database entries in accurate state for purposes of reporting and use of automated functions
- Develop presentation materials, independently prepare complex documentation, reports, charts, graphs and spreadsheets at designated intervals and as requested
- Analyze data from database reports and tracking tools providing a limited interpretation of data as requested
- Create contract templates from completed contracts
- Participate in periodic contract document reviews
- Maintain library of contract templates up to date based on communicated changes to standard forms from attorney team members and related approvals
- Maintain presentation and educational templates and update as needed for use based on information database and other available data concerning the department
- Maintain library of department policies and procedures; communicate policies and procedures to customers when necessary
- Maintain the CCS SharePoint intranet site
- Maintain, and create as needed, library of customer request forms for clinical contracting services
- Prioritize and resolve customer inquiries regarding contract status and share information with appropriate attorney and/or with supervisor
- Coordinate special projects independently or in collaboration with others as assigned
- Create routine contract documents Word and manage internal review
- Input and retrieve information from CCS’ electronic platforms in accordance with established procedures
- Perform other related duties incidental to the work described and in support of CCS/NS as assigned
Education
High school education or equivalent with five years of administrative support experience of increasing variety, complexity and demonstration of work leadership;
Two years post-secondary education with three years of experience;
OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
Experience
Two years of administrative support experience of increasing variety and/or complexity
Experience providing administrative support in a legal office a plus
Knowledge, Skills, and Ability:
- Use of PC, word processing, presentation (PowerPoint), spreadsheet (Excel), database software
- Strong oral and written (email, correspondence) communication skills
- Create correspondence with appropriate content and formatting
- Basic understanding of purposes and goals of business contracts and related documents
- Thorough knowledge of department policies, procedures and goals
- Ability to develop and maintain excellent working relationships with colleagues, peers and customers
- Ability to juggle multiple tasks and meet demanding deadlines
- Must be self-directing and able to take initiative
- Ability to edit and proof-read documents
