Sample Coordinator

We are currently seeking a detail-oriented and highly organized individual to join our team as a Photo Sample Coordinator. You will play a crucial part in ensuring the accurate representation of our products through high-quality visual content. As a Photo Sample Coordinator, you will play a critical role in ensuring that our product samples are properly prepared, organized, and photographed in our Milwaukee photo studio. You will work closely with various teams, including Merchandising, Creative, and Photography, to facilitate the smooth flow of samples for catalog and website imagery.
MISSION:
In partnership with the merchandising team and the photo studio operations, request, obtain and track quality product samples throughout various workflows and creative projects while meeting set deadlines and ensuring data is recorded and labeled on the samples in a timely and accurate manner.
Responsibilities
- Sample Management (50%):
- Request, receive and organize incoming product samples for photography, ensuring they are correctly labeled and stored.
- Maintain an organized sample inventory, keeping track of sample locations and availability.
- Coordinate with the Sample Team Manager to ensure samples are readily available for upcoming photo shoots.
- Data Management (40%):
- Enter and update relevant product information, such as SKU numbers, product descriptions, and sample attributes, in the internal systems.
- Maintain accurate records of sample usage, returns, and exchanges.
- Assist in generating reports and analytics related to sample management and photography.
- Quality Control (10%):
- Conduct thorough quality checks on samples to ensure they meet Wantable's standards.
- Inspect samples for any defects, damages, or inaccuracies, and communicate findings to the appropriate teams.
- Collaborate with the product and merchandising teams to provide feedback on sample quality and accuracy.
Goals
- Check in minimum of 12 samples per hour
- 98% Accuracy in product Labeling, Tagging, Data Entry and Organization
- Ensure data entry is done within 1 day of sample arrival
- Ensure quality of samples align to merchandising PO in terms of color, etc.
- Clear and consistent communication across key stakeholders
- Increase the percentage of samples received annually by 10%

- Improve relationships across vendors and internal teams.
- Decrease the number of priority SKUs for the e-commerce team.Skills and qualifications
- High attention to detail with excellent organizational skills.
- Previous experience in sample coordination, product management, or a related field is preferred.
- Strong communication skills to collaborate effectively with cross-functional teams.
- Ability to multitask and prioritize workload in a fast-paced environment.
- Proficient computer skills, including experience with data entry and record-keeping.
- Must be fluent in Microsoft Excel and Google Sheets
- Knowledge of fashion, trends, and garment construction is desirable.
- A keen eye for quality and the ability to identify product defects or inaccuracies.
- Ability to work independently as well as part of a team.
