The Faculty Onboarding & Integration Specialist will serve as the primary individual responsible for onboarding, integration, and retention activities of new clinical faculty to ensure a timely and efficient onboarding and integration experience for the faculty member and organization.

MINIMUM QUALIFICATIONS:

EDUCATION, EXPERIENCE, CERTIFICATION, AND/OR LICENSURE:

1. Bachelor’s degree OR A High School Diploma or equivalent AND Two (2) years of faculty onboarding, recruitment & retention, project management experience or relevant experience in healthcare.

2. Driver’s License is required.

1. Certified Fellow of the Association of Staff Physician Recruiters (FASPR).

1. Develops, implements and manages physician onboarding and integration program and strategies to accelerate time to productivity and faculty retention and engagement.

2. Establishes and maintains engagement with new faculty member from date of signed offer letter through first 12 of employment. 

3. Collaborates and serves as the liaison with physician recruitment team, benefits, payroll, clinical departments, medical staff affairs, provider enrollment, appropriate state Board of Medicine or Osteopathy, and other appropriate departments to ensure a timely and efficient onboarding experience for all new clinical faculty. 

4. Serves as the main point of contact and liaison for new clinical faculty and meet with Faculty immediately upon offer acceptance to guide them through the credentialing, provider enrollment, privileging, licensure, and new hire process to meet expected start date and timelines.

5. Identifies and recommends new policy, welcome packets, and program initiatives and recommends appropriate interventions and corrective measures to enhance the effectiveness of the onboarding and integration experience.

6. Updates faculty record in WVUHS onboarding (Echo) & HRIS (Ultimate) software as progress with onboarding is made.  In conjunction with the appropriate vendor or IT, implements an Onboarding Portal for Faculty to complete requirements electronically.

7. Develops, implements, updates integration and onboarding reports, templates, and checklists. Collects and analyzes data to demonstrate impact of physician onboarding on retention, effectiveness, engagement, and timeliness. Provides updates & regular reports to Department Administrators, Chairs, Director of Physician Recruitment and other leadership.

8. Practices continued performance improvement through regular departmental contact group meetings.  Coordinates, trains and provides staff support in the implementation of organization-wide faculty onboarding program for clinical departments.  Meets with all departmental representatives regularly for continued performance improvement and educates them to ensure consistent and equitable application of onboarding and integration strategies, procedures, and templates. 

9. Serves as main point of contact and liaison for relevant state Boards of Medicine. Monitors the board websites and communications for changes and updates to the licensure process. Educates departments, leadership, and faculty on changes.

10. Manages criminal background checks, employee health, benefits & payroll enrollment, pre-employment requirements, IT coordination between 3 entities responsible for access, and EPIC training for new clinical faculty.

11. Initiates payments (when appropriate) of signing bonuses when specific onboarding milestones are achieved.

12. Supports retention of faculty through their first year by helping with their and their families’ integration and acclimation into the organization and community through relocation needs, Dual Careers and Community Resource Groups.

13. Develops, implements and manages a faculty welcome orientation day held monthly or quarterly to welcome new faculty and educates them on resources and culture.

14. Explores and evaluates best practices professional trends and issues in physician onboarding, integration, and retention integrates
